Job Summary

We are seeking a highly motivated and detail-oriented Inside Sales Assistant to join our team at Hobbs & Associates, LLC. As a key member of our sales team, you will be responsible for managing customer inquiries, processing orders, and providing exceptional customer service.

Key Responsibilities
  • Customer Support:
    • Respond to customer inquiries via phone and email.
    • Provide detailed information about HVAC products, pricing, and availability.
    • Keep customers informed of the status of warranty claims and any required actions.
    • Assist customers with product selection and technical support.
    • Maintain and update O&M's, submittals, and other relevant documentation.
  • Sales Support:
    • Prepare and process sales orders, quotes, and invoices.
    • Process and manage warranty claims from initiation to resolution.
    • Track and follow up on pending orders and deliveries.
    • Coordinate with the sales team to ensure timely order fulfillment.
  • Product Knowledge:
    • Maintain up-to-date knowledge of HVAC products and industry trends to provide accurate information to customers.
    • Assist in the creation and updating of product documentation and sales materials.
  • Data Management:
    • Maintain accurate customer records in the CRM system.
    • Generate sales reports and analyze data to identify trends and opportunities.
  • Administrative Tasks:
    • Schedule and coordinate sales meetings.
    • Entering new projects in bid schedule and assigning responsibilities.
    • Handle routine office tasks such as filing, data entry, and managing correspondence.
  • Team Collaboration:
    • Work closely with the sales and service team to provide seamless customer service.
    • Participate in regular sales meetings and training sessions.
Requirements
  • High school diploma or equivalent; associate or bachelor's degree in business, sales, or a related field is a plus.
  • Previous experience in inside sales, customer service, or a related field, preferably in the HVAC industry.
  • Strong communication and interpersonal skills.
  • Excellent organizational and multitasking abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and CRM software.
  • Ability to work independently and as part of a team.
  • Attention to detail and a commitment to accuracy.
  • Basic understanding of HVAC systems and equipment is preferred but not required; training will be provided.
