The Administrative Support Specialist is responsible for performing fundamental clerical tasks. This role includes providing essential administrative assistance across various departments within the organization. Duties involve gathering and organizing data, verifying document accuracy, transporting materials, and maintaining organized records. The position operates under close supervision, allowing limited discretion for independent decision-making.

Key Responsibilities:
1.

Maintain regular attendance and may be required to adhere to a specific shift schedule, including potential rotation, extended hours, or overtime as needed, while fulfilling additional assigned tasks.

2.

Perform a variety of routine office tasks, including word processing and data management, such as generating correspondence, reports, tables, forms, and other documentation, as well as data entry and retrieval.

3. Establish and uphold a comprehensive recordkeeping and filing system.
4. Receive, assess, and distribute incoming correspondence to the appropriate personnel.
5. Independently draft responses to communications within the designated authority or based on verbal guidance from supervisors.
6. Act as a liaison with other departments and staff as necessary.
7. Support the administrative projects of the Nurse Administrator as required.
8. Serve as a timekeeper for the units.

Other assigned duties may include actively participating in or supporting the agency's disaster response and recovery efforts or Continuity of Operations (COOP) initiatives. Such involvement may necessitate adjustments to shift patterns or work locations.


Required Knowledge, Skills, and Abilities:
Proficiency in clerical functions.

Familiarity with business terminology, office protocols, spelling, punctuation, grammar, and basic mathematics; understanding of inventory management; knowledge of procurement policies and procedures; expertise in records management and maintenance techniques; and awareness of state procurement regulations.


Competence in utilizing personal computers and office equipment.

Ability to perform mathematical calculations; to prepare and manage records, files, and reports; to facilitate stock transfers; and to maintain organized filing systems.


Preferred qualifications include achieving an 85% score on a spelling assessment and a typing speed of 35 words per minute or higher.
