Position Overview
The Special Programs Coordinator is responsible for overseeing the Job Location and Development initiative, a federally supported program designed to assist students in securing employment opportunities, which may include part-time, temporary, seasonal, and full-time positions. This role collaborates closely with the Student Employment team to enhance and promote work study programs to various stakeholders, including employers, academic departments, and students, aiming to boost participation rates.Key Responsibilities
- Establish and nurture partnerships with employers and departments interested in providing paid part-time or full-time off-campus roles for currently enrolled students, including internships and work-study positions, which may involve site visits.
- Ensure that all necessary contracts and documentation from employers are in place, modifying procedures as required.
- Gather hiring information from both employers and students for the Job Locations and Development initiative.
- Assist in the posting and approval of job positions, including work-study and on-campus roles, in the Handshake database, reaching out to employers and departments for additional information or documentation as needed.
- Collaborate with the Office of Financial Aid to prepare the year-end FISAP report related to the Job Location and Development Grant and work study positions, which includes data collection and record maintenance, as well as assisting with employer work-study billing documentation.
- Organize and maintain filing systems, ensuring the confidentiality of records and access to student information.
- Support the Student Employment team in organizing job fairs, workshops, tabling events, and other activities focused on work study opportunities.
- Contribute to the development of marketing strategies aimed at engaging employers, students, and academic departments regarding work study programs and job opportunities.
- Participate in conferences and workshops related to job development and work study in student employment.
- Perform additional duties as assigned.
Minimum Qualifications
- Bachelor's Degree or equivalent professional experience.
- Strong organizational skills and meticulous attention to detail.
- Effective oral and written communication abilities.
- Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
Preferred Qualifications
- Two years of experience in customer service or human resources, with familiarity in Handshake.
- Experience in a full-time professional role within a university or college setting.
- Understanding of Federal and Texas work study programs, Job Location and Development grants, relevant labor laws, and student employment processes.
- Proficiency in Adobe Reader or Adobe Acrobat.
Other Requirements
- General office environment, primarily working at a computer.
- Engagement in professional activities may involve off-site meetings.
- Ability to perform manual tasks and lift up to 25 lbs.
- Criminal background check is required.
