Position Overview
Adobe Population Health is focused on enhancing community health outcomes through innovative, data-driven strategies. Our Quality and Compliance Department is dedicated to upholding the highest standards of care and regulatory compliance, aligning with our mission to provide outstanding health services and positively influence the lives we serve.
We are in search of a highly organized and proactive Administrative Assistant to bolster our Quality and Compliance Department. The ideal candidate will demonstrate exceptional administrative capabilities, meticulous attention to detail, and the ability to efficiently manage multiple responsibilities. This role is vital for ensuring the seamless functioning of the department and facilitating adherence to contractual and regulatory requirements.
This position operates in a hybrid model, with three days in the office and two days working remotely.
Key Responsibilities
- Deliver comprehensive administrative assistance to the Quality and Compliance Department.
- Oversee calendars, arrange meetings, and coordinate appointments as necessary.
- Administer the PowerDMS Policy Management Platform, collaborating with the Quality and Compliance team to maintain current, organized, and accessible policies, Standard Operating Procedures (SOPs), pathways, protocols, and related processes.
- Draft and refine correspondence, reports, and presentations as required.
- Handle incoming and outgoing communications, including emails and phone calls.
- Maintain accurate and well-organized records, files, and databases.
- Assist in preparing and submitting compliance documentation and reports.
- Ensure all departmental documents are properly archived and easily retrievable.
- Organize and coordinate departmental meetings and events.
- Prepare meeting agendas, document minutes, and follow up on action items.
- Arrange travel and accommodations for department personnel as needed.
- Support the execution of quality and compliance initiatives.
- Assist in data collection, analysis, and reporting.
- Coordinate project timelines and deliverables, ensuring adherence to deadlines.
- Act as a liaison between the Quality and Compliance Department and other internal teams.
- Facilitate effective communication within the team and with external stakeholders.
- Provide exceptional customer service to both internal and external clients.
Required Skills and Qualifications
- Minimum of two (2) years of administrative experience, preferably in a healthcare or compliance environment.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational, multitasking, and time-management abilities.
- Strong written and verbal communication skills.
- Meticulous attention to detail and a high level of accuracy.
- Ability to manage sensitive and confidential information with discretion.
- Strong interpersonal skills and a positive demeanor.
- Capability to work independently and collaboratively within a team setting.
- Familiarity with healthcare compliance and quality standards is advantageous.
- Ability to identify and resolve issues with minimal supervision.
- Adaptability and willingness to learn new tasks and tools.
- Capacity to adjust to changing business needs and responsibilities with a positive attitude.
