Job Purpose and Role:

Act as a vital link between clients and the organization. Develop strong relationships with clients, assist with order processing, address account inquiries, resolve discrepancies, manage billing issues, handle cancellations, and respond to complaints and other requests.

Key Responsibilities:

  • Utilize various communication tools such as computers and telephones to address customer inquiries effectively.
  • Ensure respectful treatment of customers and strive to achieve satisfaction within company guidelines.
  • Process sales orders, modifications, and customer inquiries regarding products.
  • Identify and evaluate customer needs to guarantee overall satisfaction.
  • Employ the computer system to enter, monitor, and report on sales order activities.
  • Maintain system accuracy concerning pricing, shipping, and destination details.
  • Collaborate closely with credit, production, and shipping teams to coordinate deliveries.
  • Engage with Business Development and R&D teams to provide information and support in resolving issues.
  • Assist management in generating information, sales, and order reports and analyses.
  • Monitor customer pricing in relation to standard and special product requirements.
  • Handle customer complaints and report findings to Quality Assurance.
  • Work with Quality Assurance to manage customer returns through the RMA system and follow up on complaints.
  • Complete export shipping documentation as required for customer needs.
  • Perform additional duties as assigned.
  • Adhere to all necessary GMP, FDA, and ISO regulations.
Education and Experience Requirements:
  • High School diploma or GED is mandatory; an Associate's Degree is preferred.
  • Minimum of two years of experience in a similar customer service role managing accounts.
  • Familiarity with company products and methodologies.
  • Proficient in Microsoft Office applications, including Excel and Word, along with general computer literacy and knowledge of shipping methods and documentation.
  • Exceptional written and verbal communication skills.
  • Basic understanding of industry standards and market dynamics.
Work Environment:
  • Office setting, adhering to all safety and quality protocols while utilizing appropriate safety equipment.
Physical Requirements:
  • Ability to speak, hear, type, operate a computer, and answer phones.
