Office Coordinator and Reception Specialist

Scranton Financial Group, a reputable and expanding Financial Services Firm, is looking for a dedicated full-time Office Coordinator who embodies a friendly demeanor, dependability, and exceptional organizational skills. The ideal candidate will possess strong communication abilities to thrive in our dynamic financial office environment.

This role requires a full-time onsite presence, with no options for hybrid or remote work arrangements.

Key Responsibilities:
  • Manage incoming calls by answering, screening, and directing them appropriately.
  • Provide essential administrative support to facilitate the smooth operation of the office.
  • Perform various administrative tasks including filing, typing, copying, and scanning.
  • Sort and distribute incoming mail, as well as send out email communications and memos.
  • Welcome visitors, ensuring their comfort with refreshments and snacks.
  • Assist in organizing corporate events and internal meetings.
  • Monitor and replenish office and kitchen supplies, ensuring optimal inventory levels.
  • Prepare outgoing mail and packages, including overnight deliveries.
  • Maintain the office and equipment in excellent condition.
  • Support various departments by creating and updating spreadsheets, reports, and marketing materials.
  • Schedule and confirm appointments for management and licensed personnel.
  • Conduct accurate data entry tasks.
  • Develop and uphold an organized filing system.
  • Coordinate travel arrangements as necessary.
  • Ability to take meeting notes and dictate is a plus.

Qualifications:
  • Excellent phone etiquette and communication skills.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • A minimum of 2 years of experience in a front office role.
  • High school diploma or equivalent required.
  • Must be legally authorized to work in the United States without sponsorship.
