Job Title: Administrative Assistant/Office Manager

We are seeking an experienced Administrative Assistant/Office Manager to join our team at Michael Page in Boston, MA.

Job Summary:

The successful candidate will be responsible for providing administrative support to our team, including managing calendars, scheduling meetings, and coordinating travel arrangements. Additionally, they will oversee day-to-day office operations, including supply management, office maintenance, and vendor relationships.

Key Responsibilities:
  • Provide executive-level support by managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Oversee day-to-day office operations, including supply management, office maintenance, and vendor relationships.
  • Assist in preparing reports, presentations, and correspondence.
  • Greet clients and visitors, ensuring a professional and welcoming office environment.
  • Serve as the primary point of contact for internal and external communications, including managing incoming calls and emails.
  • Assist in planning and organizing company events, meetings, and team-building activities.
  • Track and process expenses, invoices, and reimbursements using company systems.
  • Maintain confidentiality of sensitive information and manage confidential records.
  • Support ad hoc projects and administrative tasks as needed.
Requirements:
  • Proven experience in an administrative assistant or office manager role, preferably within financial services.
  • Strong organizational and multitasking skills.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and prioritize tasks in a fast-paced environment.
  • High attention to detail and problem-solving skills.
  • Professional demeanor with the ability to maintain confidentiality.
