This vital position merges the essential functions of managing client onboarding and ensuring ethical representation within the legal firm. You will serve as the initial contact for prospective clients, acting as a crucial gatekeeper for both the firm's workload and its ethical responsibilities.

Key Responsibilities:

Client Onboarding:

  • Conduct preliminary interviews with prospective clients through various communication channels.
  • Collect comprehensive information regarding their legal requirements and potential cases.
  • Evaluate eligibility and possible case value in accordance with firm standards.
  • Coordinate meetings with suitable attorneys for qualified clients.
  • Maintain precise records and update case management systems accordingly.
  • Assist clients through the onboarding process and completion of necessary documentation.
  • Deliver exceptional customer service throughout the onboarding journey.

Conflict Management:

  • Perform detailed conflict checks for potential and current clients against the firm's database.
  • Identify and assess potential conflicts stemming from prior representations or personal connections.
  • Investigate complex legal matters to ascertain possible conflicts of interest.
  • Prepare conflict analysis reports and recommendations for attorneys and firm leadership.
  • Maintain and enhance conflict of interest databases and procedures.
  • Ensure compliance with ethical standards and professional guidelines.

Additional Duties:

  • Assist attorneys with case preparation and document collection.
  • Uphold a professional and organized workspace.
  • Stay informed about changes in legal ethics and pertinent legislation.
  • Collaborate effectively with colleagues and legal teams.

Qualifications:

  • Bachelor's degree in a relevant discipline (e.g., legal studies, paralegal, business administration) is preferred.
  • 1-2 years of experience in legal intake or a related field is required.
  • Strong analytical and research capabilities.
  • Excellent communication and interpersonal skills, both written and verbal.
  • Proficient in Microsoft Office Suite and legal case management software.
  • Detail-oriented with the ability to manage multiple tasks efficiently.
  • Solid understanding of professional legal ethics and conflict of interest principles.
