Office Manager

As a key member of our team at A Peace of Mind Caregivers, the Office Manager will play a vital role in ensuring the smooth operation of our administrative functions. This position requires a highly organized and detail-oriented individual who can effectively manage multiple tasks and priorities.

Key Responsibilities:
  • Manage day-to-day administrative operations, including scheduling, office supplies, and event coordination.
  • Maintain office services by organizing operations and procedures, ensuring seamless communication with staff, clients, and vendors.
  • Oversee office supplies inventory and place orders as needed, ensuring timely delivery and minimal disruptions.
  • Coordinate and schedule meetings, appointments, and travel arrangements for staff, ensuring efficient use of time and resources.
  • Serve as the primary point of contact for office inquiries, providing prompt and professional responses to internal and external stakeholders.
  • Assist in the onboarding process for new employees, including setting up workstations and providing orientation, ensuring a smooth transition into the team.
  • Handle incoming and outgoing correspondence, including mail, email, and phone calls, maintaining confidentiality and discretion when handling sensitive information.
  • Prepare and distribute internal communications, memos, and announcements, keeping staff informed and engaged.
  • Assist in organizing office events, such as team-building activities and staff meetings, promoting a positive and inclusive work environment.
  • Manage office budgets and expenses, tracking expenditures and reconciling accounts, ensuring fiscal responsibility and transparency.
  • Support HR functions, including maintaining employee records and assisting with payroll processing, ensuring compliance with company policies and procedures.
Requirements:
  • Bachelor's degree in Business Administration, Office Management, or related field preferred.
  • Proven experience in office management or administrative roles, demonstrating a strong track record of success.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Strong communication and interpersonal abilities, with the ability to build effective relationships with staff, clients, and vendors.
  • Proficiency in Microsoft Office Suite and other relevant software applications, with a willingness to learn and adapt to new technologies.
  • Attention to detail and problem-solving skills, with the ability to think critically and resolve issues efficiently.
  • Ability to multitask and prioritize tasks effectively, with a strong focus on delivering high-quality results.
  • Discretion and confidentiality in handling sensitive information, with a commitment to maintaining confidentiality and upholding company policies and procedures.
  • Positive attitude and willingness to collaborate with team members, promoting a positive and inclusive work environment.
