About the Role

We are seeking a highly motivated and organized Assistant Business Manager to join our team at Tarragon Property Services. As an Assistant Business Manager, you will be responsible for supporting the Business Manager in the day-to-day operations of the property, including administrative and financial duties.

Key Responsibilities
  • Assist the Business Manager in learning all aspects of management, including administrative and financial duties.
  • Supervise staff and manage the property in the Business Manager's absence.
  • Work closely with the Business Manager to develop an integral team that effectively sells the quality and professionalism of Tarragon Property Services.
  • Inspect property common areas, apartment units, and grounds on a regular basis and offer recommendations to the supervisor and property management staff.
  • Understand financial and operational reporting requirements.
  • Collect and post all rent payments from both current and previous residents, charge deposits and move-in fees, and make daily community deposits.
  • Code and process all community invoices in Avid, assist in monitoring and recording paid invoices into various administrative log books, and forward coded invoices to the Business Manager for approval if applicable.
  • Distribute non-payment notices to all delinquent residents and complete follow-up activity in regard to non-payment of rent or eviction proceedings, collect and work on past-aged receivables, and maintain a general working knowledge of state laws in regard to collection of delinquent accounts.
  • Input daily all resident information in relation to walk-in traffic, move-ins, move-outs, apartment conditions, and maintain all current and previous resident files, update Weekly Property Reports on a daily basis, and containerize past reporting and move-out files.
  • Assist the manager in ensuring that all leases and addendums are completed accurately in regard to addresses, names, rates, and so on.
  • Support the overall marketing efforts and offer input and suggestions in regard to promotions, advertisements, rate increases, and so on.
  • Assist in various leasing activities as required, maintain up-to-date knowledge of the market and competitive properties, and assist the Manager with renewals of existing residents.
  • Analyze concerns associated with apartments that are slow to lease and offer recommendations.
  • Earn respect of leasing staff and maintenance team by demonstrating effective leadership and example setting.
  • Assist in the handling of resident service requests and various concerns as required, conduct follow-up activity as needed with new and current residents in order to establish and maintain positive resident relations, represent the Company in a professional manner at all times, and consistently maintain a professional and courteous attitude when dealing with residents, coworkers, and the general public.
  • Ensure renters insurance compliance and utilize Yardi E-Learning.
Requirements
  • A high school diploma or equivalent is required.
  • Excellent communication, organizational, and leadership skills are required.
  • A valid driver's license, sound driving record, and auto insurance are required.
  • Computer literacy is required, and proficiency in preparing Word documents and Excel spreadsheets, in addition to property management software, is preferable.
  • Yardi Voyager software experience is a highly desired but not required.
  • A business, hospitality, or property management background is preferred.
