Overview

The Logistics Support Coordinator plays a vital role in managing various administrative functions, which encompass the completion of domestic bills of lading, invoice processing, and the issuance of arrival notifications. This position also involves acquiring knowledge on how to apply contract rates or tariff rates and effectively communicating with diverse regulatory bodies and clients.

KEY RESPONSIBILITIES:

  • Examine pre-manifest lists, stowage plans, and manifests to confirm that all shipments (both northbound and southbound) are accurately recorded, billed, and conveyed to the client.
  • Prepare and input all descriptive data to ensure precise completion of ocean bills of lading and invoices while upholding a high standard of accuracy.
  • Consistently follow up with clients and Account Managers regarding inquiries and assist in resolving any discrepancies to meet deadlines and exceed client expectations.
  • Verify all data elements for correctness against shipper documentation and escalate any discrepancies to the Account Manager or client to facilitate efficient cargo exportation.
  • Ensure that service commitments are consistently met and maintained.
  • Issue and submit documentation in accordance with all applicable laws and best practices.
  • Document shipments in line with regulatory guidelines, including but not limited to In Bond, USDA, US Customs, Hazardous materials, Schedule B, and HTS Code requirements.
  • Ensure the correct application of rates to client invoices as per Trailer Bridge pricing contracts/tariffs.
  • Maintain timely updates of documentation status reports.
  • Generate invoices, including attaching necessary backup documentation when required, based on assigned customer profiles.
  • Receive and scan all shipment Proof of Delivery in accordance with retention policies.
  • Create Arrival notifications for clients prior to vessel arrival.
  • Achieve completion of barge objectives within scheduled timelines.
  • Continuously seek cross-training opportunities within the department and organization.
  • Promote the culture of Trailer Bridge by exemplifying and encouraging the TB12 – Trailer Bridge's core values.
  • Perform other duties as assigned by the Support Services Manager.

REQUIREMENTS:

  • 1-2 years of professional or relevant internship experience is required, preferably in the supply chain sector.
  • Proficiency in MS Office (Outlook, MS Word, Excel, and PowerPoint).
  • Familiarity with AS400 is preferred.
  • Ability to manage multiple tasks and adapt to changing deadlines and priorities.
  • Strong sense of urgency.
  • Excellent interpersonal skills with the capacity to deliver high-quality customer service to both internal and external stakeholders.
  • Preferred knowledge of relevant regulations and customs reporting and filing requirements.
  • Outstanding verbal and written communication skills.
  • Analytical abilities with a keen attention to detail.
  • Team-oriented and production-focused.
