Job Description

**Key Responsibilities:**

  • Ensure the smooth operation of day-to-day office activities, maintaining a productive and efficient work environment.
  • Coordinate and monitor the activities of local Administrators, Office Management, and Coordinators, ensuring seamless collaboration and communication.
  • Manage office suppliers and vendors, negotiating contracts, ensuring quality control, and maintaining strong relationships.
  • Coordinate the purchase of office supplies, ensuring timely delivery and optimal use of resources.
  • Manage corporate cell phone services, ensuring seamless communication and minimizing costs.
  • Coordinate with IT Infrastructure services to maintain and upgrade office equipment, ensuring optimal performance and efficiency.
  • Partner with Country Management and Training & Resourcing to develop and maintain office policies, ensuring compliance and best practices.
  • Communicate with insurance companies, acting as a liaison between them and PSI staff, ensuring seamless claims processing and resolution.
  • Provide HR document management support, maintaining accurate records of annual medical checks, labor protection, and attendance logs.
  • Support business trips, booking hotels, flights, and arranging necessary documentation and reporting to Accounting.
  • Receive and route financial documents from suppliers, ensuring timely processing and payment.
  • Organize office meetings and events, ensuring seamless logistics and coordination.
  • Provide logistical support for Investigator Meetings, department meetings, Sponsor audits, and other company events.
  • Support local project teams by preparing customs documentation for import and export permits.
  • Coordinate the purchase of clinical supplies for local sites, as requested by local project teams.
  • Prepare and maintain various administrative reports, as directed by the Country Manager.
  • Provide administrative support to the Country Manager, ensuring seamless coordination and communication.
  • Support international relocation of employees, coordinating travel, obtaining necessary documents, and procuring housing, transportation, and schooling.
  • Oversee the local fleet program of company vehicles, ensuring optimal use and maintenance.
