Job Summary

We are seeking a highly skilled and detail-oriented Client Service Specialist to join our team. As a key member of our Client Services Team, you will provide exceptional support to our attorneys and clients, ensuring seamless communication and efficient workflow.

Key Responsibilities
  • Provide superior client service by answering and screening calls, responding to emails, and providing other client assistance as needed.
  • Work closely with attorneys and clients to ensure accurate and timely communication, including managing client-specific data and facilitating the transfer of information.
  • Manage workflow and prioritize tasks to meet deadlines, collaborating with other support services as needed.
  • Prepare and edit legal documents, memoranda, and correspondence, ensuring accuracy and attention to detail.
  • Assist multiple attorneys with primary assignments and provide backup support during PTO coverage.
  • Transmit legal documents and correspondence to clients, witnesses, and court officials via electronic filing, fax, email, mail, or messenger.
  • Process new business requests, working closely with the New Business Intake Team to open new matters, prepare conflicts submissions, close matters, and maintain client case files.
  • Calendar critical deadlines and other dates requiring action into a calendaring database, ensuring accurate calculations and maintenance.
Requirements
  • Associate's Degree preferred; Bachelor's Degree a plus.
  • Minimum of five (5) years related experience at a law firm or legal or corporate department required.
  • Excellent verbal and written communication skills, with a high level of inter-personal skills to handle sensitive and confidential situations.
  • Proven proficiency using legal terminology and experience working in related practice areas.
  • Working knowledge of court/administrative related agency filings and meeting related deadlines.
  • High level of proficiency using a variety of office equipment, including personal computers, telephones, transcription equipment, printers, and copiers.
  • Keyboarding skills of 60 wpm or higher required.
  • Must have working knowledge of the MS Office Suite, including Outlook, Word, Excel, and PowerPoint.
Work Environment and Physical Demands

This role operates in a clerical, office setting, requiring the ability to lift, carry, push, pull, or otherwise move objects up to 50 pounds frequently. The worker is required to have close visual acuity to perform tasks such as preparing and analyzing data, transcribing, viewing a computer terminal, and extensive reading.
