Key Responsibilities
ROLE: PURCHASING COORDINATOR
PRIMARY FUNCTION:
The Purchasing Coordinator offers clerical and administrative assistance to the Purchasing Department, facilitating procurement activities with vendors and both internal and external clients. This role necessitates a solid understanding of business practices to support daily purchasing operations. The position operates under general supervision and reports directly to the Purchasing Manager.
SPECIFIC TASKS:
- Tracks purchase order statuses with vendors and receiving personnel, providing updates to clients.
- Inputs and maintains data in Salesforce regarding products, vendors, purchase orders, projects, shipments, and cases.
- Investigates product lead times and identifies alternative supply sources as necessary.
- Coordinates purchasing and shipping schedules with vendors and clients.
- Manages Return Material Authorizations with vendors and clients.
- Reviews, investigates, and codes vendor invoices.
- Collaborates with Accounts Payable and vendors to resolve invoice discrepancies.
- Monitors critical stock levels and identifies necessary purchases to maintain them.
- Generates and updates Purchase Orders as directed by the Buyer or Purchasing Manager.
- Prepares, routes, and processes Project Change Requests as authorized by the Buyer or Purchasing Manager.
- Completes new vendor documentation and setup.
- Creates new part numbers in Great Plains and Salesforce.
- Assists with international shipping documentation as required.
- Maintains electronic filing systems.
- Prepares reports and documentation for meetings and various audits.
- Manages office supplies and submits requests for the Fulfillment Department.
- Provides general administrative support to the Fulfillment Department.
- Performs additional duties as assigned.
EDUCATION/EXPERIENCE:
- Associate degree in business, accounting, law, or a related field, or a High School Diploma with four years of relevant experience.
- Minimum of two years of administrative experience.
- Experience in import/export, freight forwarding, or procurement is preferred.
- Strong customer service orientation.
- Effective communication skills with internal and external clients.
- Excellent organizational skills with the ability to manage multiple tasks.
- Detail-oriented with a strong commitment to quality and accuracy.
- Proficient in MS Office (Excel, Word, and Outlook).
- Strong command of English and grammar.
- Able to work under pressure and meet deadlines.
- Familiarity with Microsoft Dynamics Great Plains and Salesforce is preferred.

- Must be eligible to obtain a Secret personnel clearance.
