Job Summary

As a key member of the Development Management team at Marriott Vacations Worldwide, the Architecture & Construction Coordinator will be responsible for managing daily administrative operations, including managing relationships with design consultants, contractors, and vendors. This role will also oversee Furniture, Furnishings & Equipment (FF&E) procurement for turn-key projects, create and maintain filing and organization systems, and provide general administrative support to the team.

Key Responsibilities
  • Manage daily administrative operations of the Development Management department
  • Manage relationships with design consultants, contractors, and vendors
  • Oversee FF&E procurement for turn-key projects
  • Create and maintain filing and organization systems
  • Provide general administrative support to the team
  • Organize enacted entitlements and assist with maintaining and updating project entitlements
  • Maintain project files and Microsoft Project schedules using PMWeb
  • Facilitate departmental orientation and training of new hires
  • Reconcile expenses and maintain project costs in PMWeb
  • Coordinate distribution of Marriott Vacation Club brand standards
  • Prepare and process timesheets, expense reports, and invoices
  • Screen, sort, and distribute incoming mail and packages
  • Coordinate appointments and meetings for senior staff members
Requirements
  • 2 years of related work experience
  • High school diploma/G.E.D. equivalent
Working Environment

This role will be based in a fast-paced office environment and will require strong communication and organizational skills. The ideal candidate will be able to work effectively in a team environment and maintain confidentiality of proprietary information.
