Position Summary
We are looking for a motivated and team-oriented Ophthalmic Surgery Scheduling Coordinator to become a part of our organization. This role is crucial in managing the scheduling of eye surgeries and coordinating pre-operative and post-operative appointments. The coordinator will act as a key point of contact among patients, healthcare providers, surgical facilities, and staff members. A solid grasp of retinal surgical practices and insurance protocols is essential for success in this position.
Key Responsibilities
- Oversee and maintain the surgical calendar for physicians.
- Arrange first and second post-operative visits concurrently with surgery scheduling.
- Communicate with patients selected for surgery, informing them of pre-operative testing requirements and financial obligations, ensuring compliance within a specified timeframe.
- Accurately complete all necessary documentation for the practice and surgical facility in a timely manner.
- Provide training to colleagues for backup coverage as needed.
- Regularly check and respond to voicemail messages, ensuring patient calls are returned by the end of the workday.
- Ensure that all patient charts reflect each step of the scheduling process to prevent confusion among staff and physicians.
- Verify that all information on fee tickets matches the patient's details, including name, date of birth, service date and time, and location.
- Maintain an organized environment within the surgery scheduling office, clearly labeling each section.
- Collaborate closely with clinical and front office management regarding daily and monthly physician schedules, ensuring urgent cases are appropriately managed.
- Travel to satellite locations as required.
- Assist with general clinic support functions.
- Demonstrate the ability to thrive in a fast-paced, high-volume healthcare setting.
- Additional duties may be assigned as necessary.
Qualifications
- Preferred: Certification as an Ophthalmic Assistant or Ophthalmic Technician.
- Familiarity with patient charts, documentation standards, and forms utilized within the clinic and affiliated surgical sites.
- Knowledge of eye anatomy, medical terminology, ocular pathology, and eye diseases.
- Understanding of all Retina Surgical Procedures.
- Strong verbal and written communication skills with patients, healthcare providers, management, and team members.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and capable of quickly adapting to new software.
- Ability to read and interpret both paper and electronic medical records effectively.
- Excellent organizational skills, with the ability to multitask and think logically.
- Proactive, self-motivated, and able to perform well in a dynamic, high-volume environment.

Physical and Working Conditions
This position requires prolonged periods of walking, sitting, bending, stooping, and stretching. Adequate eye-hand coordination and manual dexterity are necessary for operating office equipment. Employees must possess average hearing and eyesight to accurately record and prepare reports. The ability to lift and carry items weighing up to 15 pounds is also required.
