Job Summary:

The Associate Executive Director of Facilities Management Support Services is responsible for overseeing the administration of facilities management services at Lincoln Medical and Mental Health Center. This includes managing multiple requests in a clinical, construction-oriented environment, partnering with internal stakeholders and external vendors, and ensuring timely completion of construction projects on budget.

Key Responsibilities:

  • Develop, establish, and implement the philosophy, objectives, policies, and standards of administrative services related to Facilities Management Support Services.
  • Collaborate with all levels of the organization to coordinate development and execution of a Performance Improvement Plan and ensure it is implemented and aligned with strategic goals.
  • Review and direct revision of administrative procedures and systems to address new business needs, public policy changes, and/or regulatory requirements.
  • Ensure staff competencies meet hospital business standards through a system of continuing performance evaluation.
  • Implement workflows, internal policies, and procedures to maximize facility use for patient care needs and monitor metrics for improvements.
  • Direct the preparation of budgets for personnel, supplies, and equipment for all divisions within inpatient operations and maintain cost awareness in administration of personnel, supplies, and equipment expenditures.
  • Oversee the utilization of progressive disciplinary action for staff performance issues and collaborate with Regulatory Affairs and Quality Management Department to ensure Facilities Management Services adhere to accreditation standards and government regulations.
  • Review and revise command center and emergency management practices as necessary and conduct regular staff meetings with staff assigned to each division.
  • Attend departmental and hospital-wide meetings as required and ensure dissemination of pertinent information to appropriate staff.
  • Provide leadership with necessary monitoring reports and plan, develop, and conduct training programs to maintain staff proficiency in execution of new or revised processes and/or systems.
  • Participate in recruitment and retention processes and ensure all Human Resources regulatory requirements are updated and maintained.
  • Meet all hospital compliance standards and requirements of professional conduct, including annual physical, competency assessments, annual required training, fire and safety training, and other requirements as specified.
  • Develop personal industry knowledge and professional skills and capabilities by attending training sessions and other educational conferences and/or seminars relevant to the area of specialty.
  • Represent leadership at meetings when necessary as directed and represent the hospital in system-wide initiatives and projects when necessary.
  • Oversee all construction projects to ensure timely completion on budget and handle emergency and special problems, providing consultation and technical assistance to staff.
  • Review the opening and closing of all work orders and manage the process flow of the department's call center, effectively reviewing reports on Preventive Maintenance, Change Management, and Service work orders.
  • Prepare weekly and monthly departmental reports to support data submission to Executive Management and develop special projects as needed, including review of needs and planning, budgeting, and overseeing actual work to be performed.
  • Work daily with trade team supervisors when necessary to resolve administrative issues, coordinate efforts and cooperate with departmental managers and directors on matters of mutual concern, and extend functional guidance and assistance.

Requirements:

  • Masters Degree with a specialization in Hospital Administration, Health Care Administration, Administrative Medicine, or Public Health from an accredited college or university.
  • Six years of high-level responsible experience in Hospital Administration, Business Administration, Public Administration, or an equivalent field, or as an Assistant to a Hospital Administrator in a position of direct responsibility for operations of a major part or all of a hospital, including substantial exposure in meeting community health needs.
  • Thorough knowledge of the fundamentals of hospital organization, administration, and standards, regulations, and laws applicable to hospital operations, knowledge of business and human resources administration principles, management functions, management processes, and functions of hospital departments, and ability to direct and supervise personnel.
