POSITION SUMMARY:

The Employee Benefits Coordinator and Procurement Specialist plays a crucial role in addressing inquiries and resolving issues related to HR policies, employee benefits, payroll systems, and compliance with state and federal regulations. This position also supports the requisition process within the organization.

QUALIFICATIONS:

  • Minimum of a High School Diploma; an Associate Degree or 60 college credit hours is preferred.
  • 1-3 years of relevant experience, particularly in educational settings, is advantageous.
  • Must possess citizenship, residency, or a valid work VISA in the United States.
  • Ability to handle personnel records with the utmost confidentiality.
  • Proficiency in Microsoft Office; strong focus on customer relations; detail-oriented with the ability to meet deadlines.

KEY RESPONSIBILITIES:

Personnel Management:

  • Assist in the recruitment process.
  • Maintain both physical and digital confidential personnel files.
  • Process Emergency Permits as required.

Employee Benefits Administration:

  • Coordinate annual open enrollment activities for benefit plans.
  • Process and verify employee benefit enrollment and modification forms within designated timeframes.
  • Prepare and confirm payroll deductions against billing statements and enrollment forms.

Workers' Compensation Management:

  • Assist employees in selecting facilities and physicians for Worker's Compensation incidents.
  • Communicate with insurance carriers and healthcare providers to ensure claims are processed correctly.

Payroll and Financial Duties:

  • Create new employee records in the Ascender-Human Resources system.
  • Assist with the annual salary updates, adjustments, and deductions in Ascender.
  • Support the yearly audit process by providing necessary reports and information.

Procurement Responsibilities:

  • Upon receipt of approved purchase requests, prepare and issue purchase orders.
  • Ensure vendors receive the School's Sales and Use Tax Exemption Certificate.
  • Coordinate the verification of received orders for accuracy.
  • Perform additional job-related duties as assigned.

CUSTOMER SERVICE AND COMMUNICATION:

Information Sharing:

  • Provide and receive information regarding options, technical guidance, and instructions.
  • Engage with co-workers, administrators, insurance representatives, and state agency representatives.

Customer Relationship Management:

  • Address customer inquiries, requests, and complaints effectively.
  • Escalate complex or non-routine inquiries to the supervisor.

WORKING CONDITIONS:

The work environment is temperature-controlled with hard surface flooring. This role requires prolonged periods of sitting, as well as occasional stooping and bending. Adjustments to working conditions may be made in accordance with the Americans with Disabilities Act (ADA) for diagnosed medical conditions.
