Position Overview: This role is essential in providing comprehensive administrative support to the City Council, ensuring the effective execution of all clerical and secretarial functions associated with the legislative body's responsibilities.

Key Responsibilities:

  • Manage the preparation and distribution of calendars, agendas, and proposed legislation for City Council and committee meetings.
  • Ensure timely notifications of meeting dates in compliance with applicable laws.
  • Attend and document all City Council meetings, including reading resolutions and ordinances aloud, and managing the attestation of official documents.
  • Oversee the publication of legal notices and respond to official correspondence.
  • Maintain accurate records of all Council actions and manage notifications regarding vacancies.
  • Prepare and certify transcripts for annexation proceedings and ensure adherence to procedural requirements for improvements.
  • Facilitate the filing of applications for the City Planning Commission and the Board of Zoning Appeals.
  • Prepare agendas for planning and zoning meetings, ensuring accurate documentation of proceedings.
  • Compose and deliver required legal advertisements to media outlets and manage necessary legal filings.
  • Collect and process fees for various applications and maintain financial records.
  • Assist in the preparation of quarterly purchase orders and annual budgets for the City Council and Clerk's office.
  • Regularly update the Codified Ordinance Book.

Supervisory Role: While this position does not involve direct supervision of staff, it requires oversight of clerical activities related to the City Planning Commission and the Board of Zoning Appeals.

Qualifications:

  • A high school diploma or equivalent is required; additional business training or experience in office practices is preferred.
  • Strong language skills to interpret and respond to technical documents and inquiries.
  • Mathematical proficiency for managing financial calculations.
  • Reasoning ability to solve practical problems and interpret various instructions.
  • Proficiency in computer applications, including word processing and spreadsheets.
  • A valid Ohio Driver's License is necessary.

Physical and Work Environment: The role requires regular standing, walking, and sitting, with occasional lifting of up to 50 pounds. The work environment is typically quiet, with exposure to standard office equipment.
