Job Overview

Technical Source is seeking a meticulous and organized Project Management Specialist to support our client in the Raleigh-Durham, NC area. This position plays a vital role in facilitating the effective execution and completion of projects within the Life Science/Pharmaceutical Industry, focusing on construction, design, and engineering initiatives. The ideal candidate will demonstrate exceptional administrative capabilities, adeptness in document management, and the ability to liaise effectively with various stakeholders.

Key Responsibilities:

Document Management

  • Oversee and organize all project-related documents, including contracts, reports, and communications.
  • Ensure the accuracy, completeness, and compliance of all documentation with applicable regulations.
  • Establish and enforce document control protocols to enhance document management efficiency.
  • Maintain and update document databases, ensuring accessibility for authorized personnel.
  • Provide training to staff on document control best practices and procedures.

Coordination and Communication

  • Facilitate coordination among internal teams to guarantee timely and precise document delivery.
  • Engage with team members to ensure effective communication and collaboration.
  • Exhibit strong interpersonal and communication skills.

Administrative Duties

  • Manage various administrative tasks related to project operations.
  • Support the seamless functioning of work sites through diverse administrative responsibilities.
  • Utilize software tools for staff scheduling, travel management, and performance reporting.
  • Organize meetings and document minutes.
  • Monitor project expenditures.
  • Prepare necessary documentation for team members.
  • Conduct research to assist team members.
  • Generate progress reports.

Project Support

  • Assist the project team with administrative and project management tasks.
  • Communicate with contractors, schedule appointments, procure supplies, conduct site visits, and prepare reports.
  • Manage project budgets and apply time management skills to keep the team on schedule.
  • Supervise daily project operations to ensure adherence to deadlines and compliance, reporting directly to the Project Manager.

Qualifications:

  • 7+ years of experience in developing and implementing document control processes for capital projects.
  • Proficiency in Microsoft Office and document management systems.
  • Demonstrated ability to collaborate with diverse teams, showcasing excellent organizational skills and attention to detail.
  • Strong time management and problem-solving abilities.
  • Experience in the pharmaceutical manufacturing or engineering fields is advantageous.
