Your responsibilities will include engaging with subcontractors, managing essential project documentation, and delivering vital administrative assistance to facilitate seamless operations within the department.
Key Responsibilities:
Act as the main point of contact between different departments within the organization.
Disseminate Invitations to Bid and project notifications to subcontractors.
Follow up with subcontractors to monitor bid progress and ensure prompt responses.
Oversee the collection and distribution of plans and specifications from architects to subcontractors.
Address subcontractor inquiries regarding project specifics, collaborating with Preconstruction Managers and architects as necessary to provide accurate information.
Prepare Clarifications and Addenda for subcontractors based on updates from architects.
Gather and organize subcontractor bids.
Follow up with subcontractors to obtain any outstanding information for bids.
Coordinate pre-bid and site visits with subcontractors.
Compile Bid Manuals for subcontractors to streamline the bidding process.
Create Pricing Books for the Preconstruction Manager and Operations Department.
Develop deliverable books for project stakeholders.
Maintain and update the subcontractor database.
Generate and refresh various reports utilizing Excel.
Provide general administrative support to the Preconstruction Department as needed.
Qualifications:
A High School diploma is required; experience in project coordination is preferred.
Familiarity with construction processes is beneficial.
Strong organizational abilities with a keen eye for detail and the capacity to meet deadlines in a dynamic environment.
Proficiency in MS Word, Excel, Outlook, PowerPoint, and Adobe.
