Job Summary:
The Patient Services Coordinator plays a vital role in ensuring the smooth operation of our clinical practices. This individual will assist in maintaining a patient-focused environment, supporting the delivery of high-quality care, and contributing to meeting or exceeding patient satisfaction and financial/operational targets.
Responsibilities:
- Compliance and Operations: Ensure self and assigned area(s) are compliant with all applicable federal, state, and local regulatory standards.
- Scheduling and Coordination: Manage the day-to-day planning, operations, and problem-solving for assigned areas, ensuring daily schedules, staffing needs, and performance metrics are met.
- APM Expertise: Develop and maintain APM templates and master schedules, overseeing AHIQA and running regular financial reports.
- Communication and Liaison: Act as the communication link between the group and management, disseminating information and forwarding it back up to management.
- Practice Operations: Effectively work with managers and providers to establish, implement, and maintain practice policies, procedures, and efficient systems that support daily operations.
- Patient Service Associate Responsibilities:
- Strive to understand and anticipate patient needs, manage service recovery efforts, and enlist management assistance as appropriate.
- Schedule patient appointments, determine reason for visit, follow established schedules and protocols, and communicate changes and confirm appointments.
- Perform point of service activities, collect copays, record accurately, obtain necessary signatures/forms, and update appointment status in EMR.
- Communicate with patients regarding patient flow and wait times, keeping managers aware of potential issues.
- Issue referrals and obtain pre-authorizations for patients as required and as per protocol.
- Maintain up-to-date knowledge of insurance requirements pertinent to patient service and billing procedures.
- Validate patient demographic/insurance information and/or register new patients into EMR using established protocols.
- Record receipts accurately to ensure end-of-day reconciliation and participate in cash reconciliation delineations.
- Resolve work queues and/or issues from front-end reports, proactively prioritizing recovery of missing charges.
- Order supplies for the office and generate front-end process reports as requested.
Qualifications:
- H.S. Diploma/GED (Required)
- 3+ years Medical office experience. Advanced degree (Associate's, Bachelor's, Master's) may be considered in lieu of experience.
- Must successfully complete/pass EMR training/tests upon hire
Skills and Abilities:
- Basic computer knowledge and skills
- Ability to speak, read, and write in English

- Demonstrated written communication skills
- Demonstrated organizational skills
