Job Title: Facilities Coordinator

TEKsystems is seeking a highly skilled Facilities Coordinator to support their Operations & Maintenance team in New York, NY.

As a member of the Real Estate & Development (RE&D) team, you will be responsible for managing facilities operations, ensuring compliance with established standards and procedures, and collaborating with cross-functional partners to drive special projects and strategic initiatives.

Key Responsibilities:

  • Manage facilities operations, including planning, coordinating, and executing multiple client needs, office furniture changes, and building maintenance management of commercial property.
  • Develop and maintain key relationships with Landlords, Property Management companies, and third-party service providers and vendors.
  • Assure small capital projects, operations projects, and reconfigurations are run successfully with outstanding customer service.
  • Drive and support special projects and strategic initiatives for the portfolio.
  • Collaborate with cross-functional partners, including HR, IT, Corporate Security, Safety/Emergency Preparedness, and Crisis Management.
  • Participate in site-level crisis teams and collaborate with peers across regions to ensure standards are shared and implemented.
  • Assist with annual budget development, financial variance reports, and operations analysis.
  • Establish and maintain open, positive relationships with team and customers (Apple employees).
  • Responsible for managing small operations-based projects and interacting with various support groups to ensure regulatory and compliance systems and processes are implemented.
  • Own monthly/quarterly reporting to business leaders to include updates on transactions, projects, and operations.

Requirements:

  • Facilities operations background experience, with a significant portion demonstrating success in one or more of the following areas: facilities management, office management, corporate administrative services, and/or hospitality management.
  • Highly skilled in oral & written communication and customer service & satisfaction.
  • Experience in planning, coordinating, and executing multiple client needs, office furniture changes, and building maintenance management of commercial property.
  • Able to quickly adapt to new concepts, processes, and tools.
  • Understands how HVAC equipment operates, including chillers, boilers, and heat pumps.
  • Ability to challenge technicians by asking probing questions to find solutions to problems with various systems.
  • Strong tenacity and drive to see things through to successful conclusion.
  • Identifies the critical elements of a problem and alternative ways of resolving it.
  • Explores and builds on others' ideas, offers new and imaginative suggestions, and questions conventional thinking and assumptions.
  • Remains focused on key goals and assists team members in implementing change.
  • Uses Project Management processes to clarify the scope of the project, estimate resources, and manage the project.
