Job Overview:

The AP Specialist plays a vital role in managing and maintaining financial records for various entities within Rolfson Oil. The primary focus is on ensuring accurate and timely entry of accounts payable transactions.

Main Responsibilities:
  • Daily review of purchases made on company credit cards.
  • Assist cardholders with coding and processing of transactions in the Concur system.
  • Daily processing of orders, bills of lading (BOLs), and invoices.
  • Ensure BOLs and invoices are collected and reconciled daily.
  • Communicate with corporate personnel to ensure timely approval/reconciliation of purchases.
  • Contact suppliers to request credits for incorrect billing or missing invoices.
  • Manage payments drafted from the bank account, ensuring accuracy and timeliness.
  • Assist with tax reporting as needed and review BOLs and invoices promptly.
  • Manage bill approval process and check runs, ensuring vendors are paid on time.
  • Work with suppliers to verify account setup and obtain W-9 forms for reporting.
  • Daily use of QuickBooks, Excel, and supplier portals for data entry.
  • Daily communication with the Controller and other management regarding work progress.
  • Support the Finance Department with other projects as assigned.
