This role involves performing advanced clerical tasks for the Churchill Unit, focusing on areas such as inventory management, statistical analysis, human resources, procurement, and financial record-keeping.

Responsibilities include coordinating clerical functions such as compiling and analyzing data, verifying document accuracy, managing the transportation of documents and inventory, and maintaining organized filing systems.

This position operates under limited supervision, allowing for significant initiative and independent decision-making. Responsibilities also include managing calendars, organizing meetings, and preparing meeting minutes. Conducting research related to necessary purchases and coordinating employee documentation to ensure the efficient operation of the unit are also key tasks. This role is under the direct oversight of the Program Director.

Additional duties may be assigned as needed, including active participation in supporting the agency's disaster response and recovery efforts or Continuity of Operations (COOP) activation. Such involvement may necessitate flexible shift patterns or location assignments.

Essential Job Functions:

Regular attendance is required, and employees may be asked to adhere to specific shift schedules or, at times, rotating shifts, extended hours, and/or overtime in accordance with agency policies while fulfilling other assigned duties.


Meeting and Event Coordination

Description:
Assists in organizing meetings, documenting notes, and preparing and distributing agendas and minutes.

Facilitates Quality Walkthroughs, Program Risk Assessments, and other administrative activities that require scheduling, note-taking, and follow-up on action items.


Measurement:
Ensures the smooth operation of QIT meetings by coordinating agendas and minutes.

Supports the Program Director in scheduling appointments and meetings as necessary, maintaining an organized calendar for effective program administration.

Calendars and schedules are kept current to ensure that information is readily accessible when required.


Program Organization and Documentation Support

Description:
Manages the receipt, storage, and distribution of files, materials, and supplies. Oversees the completion of work orders and assists in tracking program-related workloads and database maintenance.

Measurement:

Collaborates with the Program Director to ensure that the unit has the necessary materials to provide quality care.

Demonstrates a proactive approach in making contacts and following up to ascertain the status of work orders and ordered items.

Maintains an organized workflow that allows others to easily track the status of ongoing processes, ensuring that the Churchill Unit can compile data on work orders as needed.

Keeps program files organized for easy access to information and maintains databases, compiling charts and graphs as necessary. Ensures efficient mail collection and distribution.

Personnel Activity Support

Description:
Provides assistance with administrative tasks related to personnel matters.

Measurement:
Aids in screening applicants, scheduling interviews, and preparing hiring-related paperwork. Maintains records on employee performance evaluations and training completions as requested. Facilitates communication with employees to relay important information and assists them in accessing necessary services and resources.

Handles phone inquiries, providing assistance or directing calls to appropriate personnel to ensure smooth unit operations.


Additional Duties to Enhance Program Effectiveness

Description:
Engages fully in additional responsibilities assigned to support the program's effectiveness.

This includes routine tasks such as maintaining up-to-date personal training, participating in Continuity of Operations (COOP) as required, assisting the program physician with typing and filing Certificates of Medical Examination (CMEs), and other duties assigned by the Program Director that align with the employee's classification and role.



Measurement:
Completes training in a timely manner with minimal prompting at least 90% of the time.

Provides necessary information for the COOP call-back plan and participates as requested in any implementation of the disaster call-back plan.

Successfully completes other assigned duties with a positive attitude, ensuring accuracy and timeliness.

Knowledge, Skills, and Abilities:

Proficient in office procedures, spelling, punctuation, grammar, arithmetic, business terminology, methods, and procedures; knowledgeable in warehousing practices, state purchasing policies, and records administration techniques.


Skilled in using personal computers and office equipment.

Capable of preparing and maintaining records, files, and reports; transferring stock; performing arithmetic calculations; communicating effectively; and training others.
