Position Overview: The Clinical Operations Supervisor will oversee daily operational functions for all patient care services within the health center, ensuring that care delivery is equitable, professional, and of the highest quality. This role involves close collaboration with the Chief Operating Officer to manage clinical activities and resources effectively.

Key Responsibilities:

  • Efficiently schedules staff resources to meet patient care demands.
  • Maintains a consistent patient flow while optimizing provider time and access for patients.
  • Educates and holds team members accountable to established health center policies and procedures.
  • Manages inventory of supplies to guarantee availability for patient care.
  • Ensures adherence to all regulations, rules, and patient safety standards.
  • Conducts daily team huddles to relay important practice and patient information.

Team Collaboration:

  • Offers assistance to colleagues when workload allows.
  • Treats all team members with respect and professionalism.
  • Participates in the training and recruitment of new team members.
  • Covers for team members during their time off.

Patient Intake Management:

  • Understands and supports check-in processes and duties for Medical Office Coordinators.
  • Familiar with check-out processes, including referrals, to assist Medical Office Coordinators.
  • Knowledgeable about walk-in registration processes to aid Medical Office Coordinators.

Equipment Maintenance:

  • Maintains health center equipment and coordinates service calls as necessary.
  • Responsible for the postage meter, including refilling and managing payments.
  • Purchases and maintains an inventory of office supplies to ensure smooth operations.

EHR Management:

  • Acts as a Super User for the EHR system, setting standards for staff usage.
  • Ensures proper electronic filing of correspondence and reports in patient charts.

Staff Coordination:

  • Works with the Chief Operating Officer and Clinical Leader to maintain an efficient office schedule.
  • Involved in the selection, training, and mentoring of support staff.
  • Assists with resolving outstanding encounters and billing issues.
  • Supports staff adherence to behavioral standards and consults on performance issues.
  • Collaborates with leadership to ensure effective operations within the health center.

Qualifications:

  • Minimum of 3 years of experience in a primary care setting.
  • High School Diploma required.
  • Certification as a Medical Assistant, LPN, RN, or an Associate's Degree.

Special Skills:

  • Strong leadership, patient flow management, supervision, listening, and collaboration skills.
