Position Overview:
We are in search of a meticulous, organized, and driven multitasker to fill the role of Preconstruction Project Coordinator at B2 Constructors, LLC. This position is vital for overseeing and facilitating the company's estimating initiatives.

The ideal candidate will possess exceptional organizational capabilities, a proactive mindset, and the ability to juggle multiple responsibilities efficiently.


Primary Responsibilities:

Documentation Oversight:
Ø Systematically organize and manage all project-related documents, including blueprints, specifications, and modifications.

Ø Ensure that all documentation is current and readily accessible to the preconstruction team.

Preparation of Bid Packages:
Ø Aid in the development of bid packages, proposals, and presentations.

Ø Confirm that all bid documents are comprehensive, precise, and submitted punctually.

Coordination and Scheduling:
Ø Coordinate project timelines and deadlines.

Ø Monitor critical dates and ensure that all team members are informed of upcoming milestones.

Communication with Subcontractors and Vendors:
Ø Engage with subcontractors and vendors to obtain pricing, availability, and other essential information.

Ø Maintain a database of dependable subcontractors and vendors.

Ø Reach out to subcontractors early in the bidding process to secure their involvement.

Management of Subcontractor Bids:
Ø Oversee subcontractor bid management on Building Connected.

Ø Collect subcontractor RFIs and collaborate with estimators to submit project RFIs.

Ø Ensure timely and accurate distribution of bid invitations and follow-ups.

Support for Estimating:
Ø Assist estimators in gathering and compiling essential project data.

Ø Input data into estimating software and maintain estimating databases.

Ø Utilize On-Screen Takeoff and Quick Bid for precise takeoff and estimating tasks.

Administrative Duties:
Ø Manage administrative responsibilities related to the preconstruction process, such as filing, document control, and data entry.

Coordination of Project Management Systems:
Ø Oversee bidding projects in OneDrive, On-Screen Takeoff, Quick Bid, Building Connected, and other relevant platforms.

Ø Ensure all project management systems are current and properly maintained.

Interaction with Clients and Stakeholders:
Ø Act as a point of contact for clients during the preconstruction phase.

Ø Collaborate with architects, engineers, and other stakeholders to gather and relay all necessary information.

Meeting Coordination:
Ø Schedule and coordinate meetings with internal teams, clients, and subcontractors.

Ø Prepare agendas, document meeting minutes, and distribute them to relevant parties.

Management of Bid Calendar:
Ø Maintain and update the bid calendar, ensuring all deadlines are adhered to.

Ø Track and follow up on bid submissions and outcomes.

Cost Analysis and Comparison:
Ø Compile and compare subcontractor bids to assist estimators in selecting the most competitive and qualified bids.

Candidate Qualifications:

Education:
Ø A Bachelor's degree in Construction Management, Engineering, Architecture, or a related field is preferred. Equivalent work experience will also be considered.

We will also consider candidates who have demonstrated the necessary skill set, showcasing their ability to learn quickly and adapt.


Experience:
Ø A minimum of 2 years of experience in a construction or preconstruction role is required. Experience in commercial general contracting is advantageous.

Skills:
Ø Strong organizational and multitasking skills.

Ø Excellent communication and interpersonal abilities.

Ø Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).

Ø Experience with estimating software (e.g., Bluebeam, On-Screen Takeoff, Quick Bid).

Ø Familiarity with subcontractor bid management software (e.g., Building Connected).

Ø Attention to detail and a high level of accuracy.

Ø Critical thinking skills are essential.

Ø A strong work ethic, as work weeks may regularly exceed 40 hours.

Ø A self-starter who can perform their work without needing management directives.

Ø Ability to think creatively and recommend improvements to management when identifying better methods for task execution.

Preferred Qualifications:

Industry Knowledge:
Ø Familiarity with construction industry standards, practices, and regulations.

Software Proficiency:
Ø Proficiency in estimating and cloud-based software.

Certifications:
Ø Relevant certifications such as LEED AP, PMP, or similar are a plus.

Interpersonal Skills:
Ø Proven ability to work effectively in a team environment and coordinate with multiple stakeholders.

Problem-Solving:
Ø Strong problem-solving abilities and capacity to think critically under pressure.
