Key Duties:

Documentation Oversight:

Ø Systematically organize and oversee all project-related documents, including drawings, specifications, and revisions.

Ø Ensure that all materials are current and readily accessible to the preconstruction team.

Preparation of Bid Packages:

Ø Assist in crafting bid packages, proposals, and presentations.

Ø Guarantee that all bid materials are thorough, precise, and submitted punctually.

Scheduling and Coordination:

Ø Manage project timelines and deadlines.

Ø Monitor critical dates and ensure all team members are informed of upcoming milestones.

Communication with Subcontractors and Vendors:

Ø Engage with subcontractors and vendors to obtain pricing, availability, and other essential information.

Ø Maintain a comprehensive database of dependable subcontractors and vendors.

Ø Proactively reach out to subcontractors to encourage their involvement early in the bidding process.

Management of Subcontractor Bids:

Ø Oversee subcontractor bid management through designated platforms.

Ø Collect subcontractor RFIs and collaborate with estimators to submit project RFIs.

Ø Ensure timely and accurate distribution of bid invitations and follow-ups.

Support for Estimating:

Administrative Responsibilities:

Ø Manage administrative tasks related to the preconstruction process, including filing, document control, and data entry.

Coordination of Project Management Systems:

Ø Oversee bidding projects in various project management systems.

Ø Ensure all systems are current and properly maintained.

Client and Stakeholder Engagement:

Ø Act as a liaison for clients during the preconstruction phase.

Ø Collaborate with architects, engineers, and other stakeholders to gather and relay all necessary information.

Meeting Coordination:

Ø Schedule and facilitate meetings with internal teams, clients, and subcontractors.

Ø Prepare agendas, document meeting minutes, and distribute them to relevant parties.

Management of Bid Calendar:

Ø Maintain and update the bid calendar, ensuring all deadlines are adhered to.

Cost Analysis and Comparison:

Qualifications:

Candidate Profile:

Education:

Ø A Bachelor's degree in Construction Management, Engineering, Architecture, or a related discipline is preferred. Equivalent experience will also be considered.

Experience:

Ø A minimum of 2 years of experience in a construction or preconstruction capacity. Experience in commercial general contracting is advantageous.

Skills:

Ø Strong organizational and multitasking capabilities.

Ø Excellent communication and interpersonal skills.

Ø Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).

Ø Familiarity with estimating software (e.g., Bluebeam, On-Screen Takeoff, Quick Bid).

Ø Knowledge of subcontractor bid management software.

Ø Attention to detail and a commitment to accuracy.

Ø Critical thinking skills are essential.

Ø A strong work ethic, with the ability to manage extended work hours as needed.

Ø Self-motivated and capable of working independently.

Ø Innovative thinking with the ability to propose improvements to processes.
