About the Role:

The Administrative Assistant will provide comprehensive administrative support to ensure the efficient operation of the HR office. This role involves managing schedules, facilitating communication, and assisting with various administrative tasks.

Key Responsibilities:

  • Manage administrative tasks, including interaction with vendors and landlords regarding facility maintenance and office supplies.
  • Coordinate travel and accommodation arrangements for visitors, out-of-state job applicants, and employees as required.
  • Schedule and coordinate headquarters and zone meetings upon request.
  • Assist with employee relations and walk-in customer activities in the HR office, including addressing queries and issues, and translation services as needed.
  • Prepare meeting documentation and reports, and provide translation (English-Chinese) as required.
  • Assist in the orientation of new employees and the preparation of related materials.
  • Act as a receptionist during the absence or lunch break of the receptionist.
  • Assist with payroll functions by distributing checks to respective functions.
  • Organize and maintain supplies in the HR office.
  • Assist in ad hoc projects, such as volunteer activities, luncheons, and corporate events.

Requirements:

  • Minimum A.S./A.A. degree in Business Administration or related discipline from an accredited university/college and a minimum of 3 years of related work experience. Bachelor's degree is preferred.
  • Must be proficient in Microsoft Office suite – Word, Excel, Outlook, and PowerPoint.
  • Strong organizational, time management, critical thinking, and analytical skills.
  • Must be a fast learner with self-motivation and an ability to prioritize and multitask several projects at the same time; follow through and complete the assigned duties on time.
  • Must be proactive, organized, and detail-oriented.
  • Strong interpersonal skills with an ability to deal with all levels of employees.
  • Ability to deal with problems involving few concrete variables in complex situations.

Language Skills:

  • The individual must be able to speak, read, and write both English and Chinese fluently.
  • Bilingual skills (read, speak, and write) in Chinese/Spanish is a plus.

Work Environment:

  • The position is sited in an office setting but requires sitting at or visiting the plant and warehouse from time to time.
  • This is a 100% onsite position.
