Position Overview: This role is responsible for performing various administrative, clerical, and secretarial tasks to support departmental operations. The Night Clerk may also act as the primary point of contact for the assigned unit and may oversee junior staff members.

Administrative Duties

  • Welcomes visitors, assesses their needs, and directs them accordingly.
  • Utilizes specialized software to manage appointment scheduling.
  • Adheres to organizational protocols for data entry and maintenance.
  • Handles service fees for the program.
  • Employs independent judgment to execute clerical tasks, including document management and filing systems.
  • Completes forms in line with established procedures.
  • Utilizes Microsoft Office to create, type, and distribute meeting notes and reports.
  • May procure and manage office supplies.
  • Processes incoming mail and communications.
  • Answers phone calls, provides information, takes messages, or redirects calls as necessary.
  • Maintains confidentiality of sensitive information.
  • Prepares and shares relevant reports with appropriate personnel.
  • Ensures all documentation for assigned areas is accurate and up-to-date.
  • Maintains organized personnel and administrative files.
  • Records minutes during staff meetings and keeps them in an organized file.
  • Ensures compliance with documentation and billing standards.
  • Delivers necessary reports as required.
  • Operates with minimal supervision.
  • May supervise junior staff members.

Financial Responsibilities

  • Prepares requisitions for payments and invoices.
  • Handles deposits for accounts receivable and coordinates with the accounting department.
  • Reviews monthly expenditure reports for payment processing.
