Job Summary

This Contract and Administrative Coordinator role supports General and Administrative functions within the Human Resources department on a hybrid schedule 12-month contract.

Key Responsibilities
  • Coordinate contract request and submission processing for Human Resources (HR).
  • Ensure timely submittal of HR contracts within Coupa and SpringCM contract management systems.
  • Prepare and submit Master Service Agreements and Scope of Work contract requests within SpringCM.
  • Create new vendors within the Coupa system.
  • Maintain strong relationships between Vendors, Department Managers, Legal, Accounts Payable, Finance, SpringCM, and Coupa.
  • Analyze and effectively utilize reports and data extracted from Coupa.
  • Manage calendars for Executives, including scheduling meetings both internally and externally, and booking various events.
  • Plan team and cross-functional offsites through coordination with vendors.
  • Process and submit expense reports using Concur. Research and resolve expense report discrepancies.
  • Maintain Human Resources website content: work with different HR team members to ensure material posted is up-to-date.
  • Track Onboarding tasks for new hires. Follow-up with the Talent Acquisition team or new hire as necessary to ensure completion of tasks.
Requirements
  • Bachelor's degree.
  • 4+ years of contract and Human Resources administration experience within a corporate environment.
  • Proficiency with MS Project, Excel, PowerPoint, Word, and Outlook, Oracle HCM.
  • Preferred knowledge of Coupa and SpringCM.
  • Strong Program and Vendor Management experience.
  • Strong customer service and analytical skills and ability to liaise with all levels of the organization.
