Job Overview

Primary Objective:
Oversees and directs the activities of staff responsible for the upkeep and maintenance of facilities, grounds, and equipment. Ensures compliance with all relevant regulations while maintaining essential systems such as electrical, plumbing, mechanical, fire safety, and HVAC.

Key Responsibilities:

  1. Delegates tasks to maintenance personnel.
  2. Evaluates and prioritizes work orders based on urgency.
  3. Reviews completed work to ensure adherence to established standards.
  4. Identifies necessary materials, tools, and supplies for various projects.
  5. Collaborates with marketing and housekeeping teams for apartment turnovers.
  6. Communicates equipment maintenance concerns to management, providing options for repair or replacement.
  7. Oversees installations, inspections, and maintenance of critical systems across all locations.
  8. Manages inspections and repairs for heating, cooling, ventilation, and boiler systems.
  9. Coordinates general repair tasks, including painting, flooring, and landscaping.
  10. Supervises renovations and new construction projects.
  11. Monitors major contract work within apartments and building systems.
  12. Engages with new residents to explain maintenance protocols and service requests.
  13. Maintains inventory and orders supplies to ensure operational readiness.
  14. Drafts the initial Operating Budget for the maintenance department.
  15. Keeps records of work orders and maintenance logs for a minimum of three months.
  16. Participates in leadership and committee meetings, contributing to quality improvement initiatives.
  17. Responds to resident inquiries in a timely and courteous manner.
  18. Conducts hiring processes, including screening applicants and making recommendations for promotions or terminations.
  19. Evaluates maintenance staff performance annually.
  20. Facilitates training sessions for new and existing employees on policies and equipment usage.
  21. Conducts fire safety training for new hires and annual refreshers for all staff.
  22. Schedules and oversees annual fire extinguisher training.
  23. Reviews and updates departmental and fire safety policies annually.
  24. Addresses resident complaints regarding maintenance services and implements corrective measures.
  25. Assesses appliance functionality in apartments and decides on necessary repairs or replacements.
  26. Coordinates maintenance activities with department heads, keeping them informed of progress.
  27. Proposes enhancements to improve service efficiency.
  28. Generates reports related to payroll and departmental expenditures.
  29. Assumes maintenance responsibilities during emergencies or staffing shortages.
  30. Develops and adheres to a schedule for routine maintenance tasks.
  31. Conducts team meetings to address company policies and resident feedback.
  32. Establishes operational standards and procedures for maintenance staff.
  33. Ensures compliance with training requirements for all employees.

Essential Qualifications:

  1. Ability to interact tactfully and courteously with residents, families, colleagues, and vendors.
  2. Proficient in installing, inspecting, and maintaining essential systems according to health and safety standards.
  3. Knowledgeable about sanitation and safety regulations.
  4. Commitment to high-quality service standards.
  5. Minimum of a high school diploma; additional education in maintenance or a related field is preferred.
  6. Understanding of management principles related to human resources and team coordination.
  7. Proficient in English communication, both written and verbal.
  8. Ability to motivate and guide staff effectively.
  9. Exhibits professionalism, responsibility, and patience.
  10. Familiarity with resident rights and confidentiality protocols.
  11. Strong communication skills are essential.

Physical Requirements:

  1. Capable of performing physical tasks that involve significant use of arms and legs, including climbing, lifting, and balancing.
  2. Able to operate maintenance equipment and instruct others in its use.
  3. Must be able to endure exposure to high temperatures, vibrations, and various chemicals.
