This role is pivotal in the processing and oversight of archival collections within the Special Research Collections of the University Libraries. The Specialist will engage in activities such as accessioning, organizing, preserving, and documenting archival materials to enhance their accessibility and discoverability. Under the guidance of the Coordinator and Senior Archivist of the Special Collections Processing Unit, the Specialist will create and refine finding aids using the Libraries' ArchivesSpace platform. Responsibilities also include managing archival collections housed at the Library Service Center, ensuring accurate records of collection storage in the shelf management software. The Specialist will efficiently handle the retrieval and shelving of archival boxes for campus circulation requests and will perform stacks management to optimize storage solutions. Additionally, the role involves overseeing the intake of archival supplies, crafting custom archival enclosures, and contributing to special projects as assigned. Training and supervising student assistants and temporary staff will also be part of the responsibilities.
Key Responsibilities:
  • Evaluate, arrange, and document archival collections following established professional standards.
  • Ensure the care and maintenance of archival materials, storage, and workspaces.
  • Maintain accurate records of collection storage in management systems for effective asset management.
  • Gather and present data for statistical and narrative reporting.
  • Provide project management support.
  • Stay proficient in all workflows, policies, and systems relevant to the arrangement and description of archival collections.
  • Oversee the intake of archival supplies and supervise the receipt of materials.
  • Identify collections and items requiring preservation treatment and execute preservation methods for paper items and occasional artifacts.
  • Manage access to collections and respond to inquiries regarding archival materials.
  • Guide and train student assistants and temporary staff as necessary.

Required Education:
Bachelor's degree, AND:
  • 36 months of relevant experience in archival arrangement and/or records management.
Equivalency/Substitution: A total of 84 months of related experience may substitute for the Bachelor's degree.

Skills:
  • In-depth knowledge of processes and best practices for organizing and preserving archival records across various formats.
  • Familiarity with metadata schemas used in archival material description (DACS, EAD, etc.).
  • Strong project management skills with a proven ability to oversee processes and workflows to successful completion.
  • Excellent written and verbal communication abilities.
  • Experience in arranging and describing manuscript or archival collections.
  • Aptitude for supervising staff and effectively communicating expectations.
  • Capability to work independently as well as collaboratively.
  • Ability to engage with colleagues to meet diverse needs and expectations with professionalism.

  • Frequent exposure to pressures from deadlines and busy periods.
  • Ability to perform repetitive motions.
