Position Overview

We are in search of a diligent and organized individual to join our team as an Office Coordinator. This role is essential for maintaining the smooth operation of our office environment. The Office Coordinator will engage in a variety of administrative and clerical functions, including managing schedules and maintaining documentation. The ideal candidate will possess strong organizational skills, a proactive mindset, and the ability to manage multiple responsibilities with professionalism.

Key Responsibilities

  • Welcome visitors to the office and assist with their inquiries.
  • Handle incoming phone calls at the front desk; take messages and relay them appropriately.
  • Support the scheduling of both in-person and virtual meetings.
  • Manage the inventory of office supplies to ensure all areas are well-stocked.
  • Maintain cleanliness and organization in coffee stations, kitchen areas, and breakrooms.
  • Organize and maintain filing systems.
  • Draft and revise correspondence, reports, and presentations.
  • Coordinate travel arrangements for staff.
  • Manage corporate apartment bookings and related services.
  • Sort and distribute incoming mail and prepare outgoing correspondence.
  • Plan and facilitate office meetings, including preparing agendas and catering arrangements.
  • Assist with monthly expense reporting for corporate cards.
  • Enhance office productivity through effective use of software applications.
  • Perform additional duties as assigned.

Educational Background

  • High school diploma or equivalent required.

Required Qualifications

  • A minimum of 2 years of experience in an administrative role.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, SharePoint, OneDrive, Teams).

Preferred Qualifications

  • Associate degree in a relevant field.
  • Experience in facilitating virtual and hybrid meetings.
  • Familiarity with both MAC and Windows operating systems.
  • Willingness to learn new software tools.
  • Active notary public commission in California is a plus.

Work Environment

  • This position is primarily office-based, with occasional visits to project sites.
  • Standard office equipment such as computers, phones, printers, and filing cabinets will be utilized regularly.

Physical Requirements

This role is predominantly sedentary, with occasional lifting of files and supplies, as well as bending or standing. Most tasks will be performed at a desk using a computer. The ability to lift or move office supplies weighing up to 45 pounds may be required.

Compensation

  • Hourly wage ranges from $24 to $34, based on experience.
  • This is a full-time, non-exempt position.
