KEY RESPONSIBILITIES:

  • Act as a primary support to attorneys in the administration of their Private Client practices, fostering a comprehensive understanding of the practices and clientele.
  • Facilitate the flow of information to efficiently organize, prioritize, and fulfill requests from both internal and external stakeholders.
  • Proactively assist attorneys with various administrative tasks, including scheduling, conflict resolution, and communications.
  • Oversee and manage attorneys' calendars and schedules for accurate time-keeping.
  • Prepare, format, proofread, and edit legal documents, ensuring precision in all details.
  • Assist with time tracking and client billing preparation, ensuring timely submission of time entries and dispatch of invoices.
  • Coordinate logistics and services for meetings, events, signings, and other engagements.
  • Manage travel arrangements for out-of-town meetings and conferences.
  • Handle reimbursements, reconcile expenses, and process invoices.
  • Build and maintain positive relationships with firm members and external vendors.
  • Ensure all correspondence and legal documentation are accurately filed and transmitted to the appropriate records.
  • Facilitate communication among partners, associates, paralegals, and other personnel.

QUALIFICATIONS:

  • BA/BS degree is preferred but not mandatory.
  • A minimum of 7 years of experience in administrative, legal, or executive assistant roles is required.
  • Proficiency in Microsoft Word, Outlook, PowerPoint, and Excel is essential.

ESSENTIAL SKILLS:

  • In-depth knowledge of Private Client practices and clientele.
  • Exceptional client service capabilities.
  • Strong attention to detail and organizational proficiency.
