Trust & Estates Legal Executive Assistant plays a pivotal role in delivering high-level administrative support while acting as a vital partner to attorneys in managing their practices. This position is perfect for a proactive individual who can uphold confidentiality and work both autonomously and as part of a team.
KEY RESPONSIBILITIES:
- Act as a primary support to attorneys in the administration of their Private Client practices, fostering a comprehensive understanding of the practices and clientele.
- Facilitate the flow of information to efficiently organize, prioritize, and fulfill requests from both internal and external stakeholders.
- Proactively assist attorneys with various administrative tasks, including scheduling, conflict resolution, and communications.
- Oversee and manage attorneys' calendars and schedules for accurate time-keeping.
- Prepare, format, proofread, and edit legal documents, ensuring precision in all details.
- Assist with time tracking and client billing preparation, ensuring timely submission of time entries and dispatch of invoices.
- Coordinate logistics and services for meetings, events, signings, and other engagements.
- Manage travel arrangements for out-of-town meetings and conferences.
- Handle reimbursements, reconcile expenses, and process invoices.
- Build and maintain positive relationships with firm members and external vendors.
- Ensure all correspondence and legal documentation are accurately filed and transmitted to the appropriate records.
- Facilitate communication among partners, associates, paralegals, and other personnel.
QUALIFICATIONS:
- BA/BS degree is preferred but not mandatory.
- A minimum of 7 years of experience in administrative, legal, or executive assistant roles is required.
- Proficiency in Microsoft Word, Outlook, PowerPoint, and Excel is essential.
ESSENTIAL SKILLS:
- In-depth knowledge of Private Client practices and clientele.
- Exceptional client service capabilities.
- Strong attention to detail and organizational proficiency.
- High degree of professionalism, initiative, and dependability.
- Outstanding written and verbal communication skills.
- Ability to maintain composure and professionalism under pressure.
- Commitment to confidentiality regarding client and firm matters.
- Strong problem-solving abilities and foresight in task management.
- Effective communication skills across all levels of personnel within the firm.
