ORGANIZATIONAL OVERVIEW:

Purpose:

The Operations Manager of Administrative Services plays a vital role in supporting the Director of Administrative Services in overseeing the management and upkeep of the SEIU International headquarters.

PRIMARY RESPONSIBILITIES:

  1. Initiate and manage the procurement process with external vendors, ensuring cost efficiency and quality control.
  2. Supervise all mailroom functions, inventory management, and offsite storage solutions.
  3. Oversee the Netsuite Purchase Module for procurement activities including requisitions, purchase orders, and invoices.
  4. Develop and maintain relationships with both new and existing vendors.
  5. Authorize expenditures within the designated budget categories.
  6. Assist in formulating the annual capital budget and ensure adherence to it.
  7. Manage the procurement and distribution of office supplies, furniture, and other essential materials.
  8. Coordinate internal and external relocations, addressing space and equipment requirements.
  9. Oversee the Asset Inventory System and collaborate with inventory management companies.
  10. Supervise the mailroom team to ensure timely and efficient mail handling and logistics.
  11. Collaborate with various SEIU departments to enhance operational efficiency and cost-effectiveness.
  12. Plan and manage space allocation for incoming materials and advise on the disposal of outdated items.
  13. Provide support to the Director of Administrative Services as needed.
  14. Perform additional duties as required to support departmental objectives.

Contacts:

Engagement with SEIU staff, field representatives, local union leaders, and external vendors is essential.

Direction and Decision Making:

This role reports directly to the Director of Administrative Services and often requires independent decision-making.

Education and Experience:

A minimum of three years of relevant experience or a combination of education and experience that equips the candidate with the necessary knowledge, skills, and abilities:

  • Understanding of labor union operations.
  • Proficient in negotiating contracts for purchases and services.
  • Familiarity with facility management practices.
  • Expertise in mailroom and procurement operations.
  • Knowledge of office equipment and information systems.
  • Ability to manage budgets and large-scale projects effectively.
  • Leadership skills to motivate and guide team members.
  • Strong verbal and written communication skills.
  • Capacity to work autonomously and meet deadlines.
  • Conflict resolution skills while maintaining effective relationships.
  • Proficient in Microsoft Office Suite and Netsuite purchasing software.

Physical Requirements:

Work is primarily conducted in an office environment, with potential requirements for field coordination. Some travel and extended hours may be necessary.
