Administrative Support Specialist

We are seeking an experienced Administrative Assistant to join our team at Hi-Vac Corporation. As an Administrative Assistant, you will be responsible for providing administrative support to our staff, ensuring the smooth operation of our office, and maintaining a high level of customer service.
Key Responsibilities:
- Welcome clients and visitors to the office and assist them as needed.
- Perform various clerical tasks, including filing papers, organizing supplies, and taking meeting notes.
- Prepare and send faxes, answer phones, and route calls to appropriate personnel.
- Manage, sort, and dispense incoming mail and faxes, and prepare outgoing mail, faxes, and packages.
- Perform general bookkeeping duties and maintain staff and company calendars.
- Assist with setting appointments, meetings, and conference calls, and reserve conference spaces for meetings.
- Notify and remind all parties of upcoming events, lunches, meetings, and out-of-town travel arrangements.
- Suggest changes to office task workflow to improve efficiency and maintain an organized workspace.
- Clean and tidy public office spaces, including the vestibule, kitchen, and conference room.
- Frequently check office supply stock and communicate with purchasing to reorder supplies as needed.
- Attend company meetings, take notes, and keep minutes, and report any updates or pertinent issues to the department manager.
- Uphold and carry out company office policies and procedures.
Requirements and Qualifications:
- High school diploma or GED equivalent required.
- Associate degree in office administration, management, or a related field preferred.
- 2+ years of experience working in office administration or hospitality management preferred.
- Computer literate and proficient in Microsoft Suite.
- Experience using office machinery, including fax machines, printers, copiers, and phone systems.
- Excellent customer service skills, organized, and detail-oriented.
- Outstanding verbal and written communication skills.
