About the Role

Hilltop Holdings, a diversified financial holding company, is seeking a skilled Coordinator to support its Corporate Real Estate and Construction team. As a key member of the team, you will provide administrative support for transactional real estate tasks and reporting duties.

Key Responsibilities
  • Reporting and Data Management: Set up and run reports from the departmental database (Lucernex) to track real estate transactions and project updates.
  • Vendor Management: Support the onboarding of new vendors, including signage, utility services, and janitorial services.
  • Location Decommissioning: Assist in the decommissioning of locations, ensuring a smooth transition.
  • Database Maintenance: Maintain accurate and up-to-date records in the Real Estate and Facilities intranet page.
  • Invoice Processing: Review and process departmental third-party invoices within Concur.
  • Certificate Management: Maintain a database of certificates of insurance and location naming conventions for the real estate portfolio.
  • Minute Taking: Record and maintain real estate committee minutes as needed.
  • Lease Management: Track and maintain lease deposits.
  • Account Management: Perform account database management in Executive Suite (Regus).
  • Process Improvement: Support and implement continual process improvements within the department.
Requirements
  • Education: High School diploma, general education degree (GED), or equivalent education required.
  • Experience: Two or more years of previous administrative or clerical experience required. Previous experience in real estate and/or construction experience strongly preferred.
  • Skills: Proven customer service skills, effective communication, and analytical skills. Ability to learn custom applications and systems.
