Position Title: ELRC Administrative Support Specialist

Reporting To: ELRC Director of Provider Operations/Finance

The organization is currently seeking applications for a full-time Administrative Support Specialist. This role is essential in supporting the Early Learning Resource Center Region 3 (ELRC 3) program, which includes client intakes, resource and referral services, childcare provider operations, and general administrative tasks. You will collaborate closely with ELRC leadership to enhance office functions and assist the clients and providers we serve. Additional projects will be assigned by your supervisor as part of your ongoing responsibilities.


Qualifications:

Applicants should possess a fundamental understanding of Microsoft Office Applications, including Word, TEAMS, Outlook, and Excel. Experience with office equipment and telephone systems is crucial. This role demands the ability to multitask, along with strong data entry, organizational, and communication skills, while being comfortable interacting with the public. Attention to detail and the capability to follow multi-step instructions are essential for daily operations.


Key Responsibilities:

  • Manage multiple tasks while performing general office duties to support ELRC operations, including scanning, answering phone calls, copying, faxing, filing, and mailing.
  • Greet visitors to the ELRC in a friendly and professional manner.
  • Handle incoming calls and direct them to the appropriate staff members courteously.
  • Conduct detailed intake processes for clients, providers, and the general public.
  • Review and forward incoming faxes, emails, and voice messages to the relevant staff.
  • Perform daily scanning and filing of documents.
  • Prepare folders for new client files and ensure adequate supply levels are maintained.
  • Compile informational packets and materials required for clients, ensuring a sufficient stock is available.
  • Continuously research new services offered and update resource and referral services within the ELRC Region.
  • Maintain the ELRC 3 regional resource library in both electronic and physical formats.
  • Track and compile data for monthly reporting purposes for the ELRC.
  • Provide resource and referral services to incoming callers, clients, and the general public.
  • Assist in the procurement process for office supplies and equipment for the ELRC program.
  • Coordinate the delivery of supplies and equipment to the ELRC office or designated staff locations as required.
  • Oversee the distribution, stocking, and storage of supplies and equipment in designated areas.
  • Ensure adequate supply levels are maintained to prevent shortages.
  • Retrieve and sort mail from the mailbox and inter-office mailboxes daily.
  • Open and distribute all incoming mail promptly.
  • Update and maintain an inventory list and tagging of office equipment.
  • Support office staff with special projects and initiatives as needed.
  • Assist with the monthly invoicing process for CCW providers.
  • Perform any other tasks assigned by your ELRC Supervisor and Directors to support program operations.

Education: A Bachelor's or Associate degree is preferred but not mandatory.
