Customer Experience Account Specialist

Job Summary: We are seeking a highly organized and detail-oriented Customer Experience Account Specialist to join our team at InterChange Group Inc. As a key member of our operations team, you will be responsible for ensuring seamless communication with customers and internal stakeholders, while also managing the administrative and organizational aspects of our warehouse operations.

Key Responsibilities:

  • Communicate effectively with customers via phone and email to resolve inquiries and issues.
  • Assist drivers with directions to the facility as needed.
  • Receive and process incoming shipments, ensuring accurate inventory levels and documentation.
  • Generate and process orders in our warehouse management system, verifying inventory levels and notifying customers of any shortages.
  • Ensure proper rotation of inventory and verify product dates to ensure customer satisfaction.
  • Prioritize, print, distribute, and collect paperwork for the dock to receive or load-out trucks.
  • Reassign inventory as requested by warehouse staff.
  • Review Bill of Lading (BOL) accuracy and print as needed.
  • Scan completed paperwork to customers as required.
  • Serve as the primary point of contact for drivers arriving at the facility, issuing paperwork and confirming shipment details.
  • Record and review receipt and shipment details in our WMS system to ensure accuracy and close out transactions.
  • Process and send electronic data interchange (EDI) communications as necessary.
  • Organize and file completed paperwork.
  • Assist with reconciling inventory discrepancies and researching missing pallets.
  • Import/export files to/from Excel to alleviate data entry and facilitate analysis.
  • Confirm transaction charges for accurate billing.

Requirements:

  • A minimum of two years' experience working with enterprise-level software packages.
  • A minimum of three years' experience with Microsoft Office (Word, Excel, Outlook).
  • Experience with EDI a plus, but not required.
  • Experience working in a team environment and/or managing team members.

Minimum Qualifications:

  • Education: High school diploma or GED equivalent.
  • Organizational skills: Ability to administer, organize, and file paperwork.
  • Communicative skills: Ability to communicate effectively via email and phone.
  • Computer literacy: Ability to operate a computer and willingness to learn our warehouse management system software.
  • Multi-tasking capability: Ability to handle multiple tasks simultaneously.
