Account Specialist Job Description

At InterChange Group Inc, we are seeking a highly organized and detail-oriented Account Specialist to join our team. As an Account Specialist, you will play a critical role in ensuring the smooth operation of our warehouse and customer service functions.

Key Responsibilities:
  • Communicate effectively with customers via phone and email to resolve inquiries and issues.
  • Assist drivers with directions to the facility and ensure timely delivery of shipments.
  • Receive and process incoming shipments, verifying inventory levels and notifying customers of any discrepancies.
  • Generate and process orders in our warehouse management system, ensuring accurate and timely fulfillment.
  • Verify inventory levels and notify customers of any shortages or issues.
  • Ensure proper rotation of inventory and that products sent to customers have adequate dates.
  • Prioritize, print, and distribute paperwork for the dock to receive or load-out trucks.
  • Reassign inventory as requested by warehouse staff.
  • Review Bill of Lading (BOLs) for accuracy and print as requested by warehouse staff.
  • Scan completed paperwork to customers as required.
  • Serve as the point of contact for drivers arriving at the facility, issuing paperwork and confirming shipment details.
  • Record and review receipt and shipment details in our WMS system to ensure accuracy and close out transactions.
  • Process and send electronic data interchange (EDI) communications as necessary to customers.
  • Organize and file completed paperwork.
  • Assist with reconciling inventory and correcting discrepancies.
  • Assist operations with researching missing pallets.
  • Import/export files to/from Excel to alleviate data entry and for analysis.
  • Confirm transaction charges are accurate for the billing process.
Requirements:
  • A minimum of two years' experience working with an enterprise-level software package.
  • A minimum of three years' experience with Microsoft Office (Word, Excel, Outlook).
  • Experience with electronic data interchange (EDI) a plus (not required).
  • Experience working in a team environment and/or managing team members.
Minimum Qualifications:
  • Education - High school diploma or GED equivalent.
  • Organizational - Ability to administer, organize, and file paperwork.
  • Communicative - Ability to communicate via email and the telephone effectively and efficiently.
  • Computer Literacy - Ability to operate a computer and willingness to learn and utilize InterChange's warehouse management system software.
  • Multi-Tasking Capability - Ability to handle more than one task at a time.
