GAI Consultants is in search of a dedicated and proactive Marketing Project Coordinator to enhance our vibrant marketing division. This pivotal role will focus on supporting the Power & Energy sectors by managing the proposal process and crafting compelling submissions, letters of intent, qualifications, and presentations. Additionally, the coordinator will collaborate with GAI's sector leaders and various professional teams to create impactful marketing materials.

The ideal candidate will possess a strong commitment to excellence in proposals and a passion for continuous improvement. Exceptional organizational and communication skills are essential, along with the ability to thrive under pressure, attention to detail, and a positive, client-centric approach.

Key Responsibilities:

  • Engage in initial meetings, proposal scheduling, review, production, and delivery tasks.
  • Ensure timely completion of assigned proposal responsibilities to meet critical deadlines.
  • Collaborate with internal and external stakeholders to collect necessary information and resources.
  • Monitor proposal progress and confirm that all milestones are achieved.
  • Contribute to the development of marketing and technical content.
  • Assist in compiling cost estimates for proposal submissions using Excel.
  • Review documents for consistency and adherence to legal, technical, and marketing standards.
  • Support presentation efforts, including development, rehearsals, and logistics.
  • Maintain and update detailed records in GAI's Deltek Vantagepoint database.
  • Assist with additional programs and projects as required.
Qualifications:
  • Minimum of 2 years of relevant experience in proposal coordination, with prior experience in the A/E/C industry preferred.
  • Associate degree in business, marketing, graphic design, journalism, or a related field is required; a Bachelor's degree is preferred.
Competencies:
  • Proficient in Microsoft Word, Excel, Outlook, and PowerPoint.
  • Skilled in Adobe Creative Suite.
  • Experience with Deltek Vantagepoint or similar database systems is advantageous.
  • Strong proofreading and editing capabilities.
  • Able to utilize templates effectively.
  • Excellent communication and organizational abilities.
  • Capable of documenting and processing information accurately and swiftly, with a keen eye for detail.
  • Flexible in managing multiple priorities and tasks simultaneously within tight deadlines.
  • Able to work independently as well as collaboratively within a team.
  • Willingness to work flexible hours, including occasional evenings and weekends, to meet proposal deadlines.
  • Some local travel may be required (up to 20%).
