Key Responsibilities:

  • Facilitate kick-off meetings and manage proposal task scheduling, review, production, and delivery processes.
  • Ensure timely completion of assigned proposal tasks to meet critical deadlines.
  • Coordinate with internal and external stakeholders to collect necessary information and materials.
  • Monitor proposal efforts and guarantee that scheduled milestones are achieved.
  • Contribute to the writing of marketing and technical content.
  • Assist in compiling cost estimates for proposal submissions using Excel.
  • Proofread documents to ensure consistency and compliance with legal, technical, and marketing standards.
  • Support presentation initiatives, including development, rehearsals, materials preparation, and logistics.
  • Maintain and update detailed records in GAI's Deltek Vantagepoint database.
  • Assist in executing additional programs and projects as needed.
Qualifications:
  • Minimum of 2 years of relevant experience in proposal coordination, with preference for candidates with A/E/C industry experience.
  • Associate degree required, preferably in business, marketing, graphic design, journalism, or a related field; Bachelor's degree is a plus.
Competencies:
  • Proficient in Microsoft Word, Excel, Outlook, and PowerPoint.
  • Skilled in Adobe Creative Suite.
  • Experience with Deltek Vantagepoint or similar database systems is advantageous.
  • Strong proofreading and editing capabilities.
  • Adept at utilizing templates effectively.
  • Excellent communication and organizational abilities.
  • Capable of documenting and processing information swiftly and accurately, with a keen eye for detail.
  • Flexible and able to manage multiple priorities and tasks simultaneously within tight deadlines.
  • Ability to work independently as well as collaboratively within a team.
  • Willingness to work flexible hours, including occasional nights and weekends, to meet proposal deadlines.
  • Some local travel may be required (up to 20%).
