Reports To: Office Manager/Comptroller

POSITION SUMMARY

The Title Clerk is responsible for managing the documentation related to vehicle transactions. This role involves ensuring the accuracy of costs for the accounting department, including expenses related to reconditioning and additional equipment, while also overseeing the legal transfer of vehicle titles with the Department of Motor Vehicles.

KEY RESPONSIBILITIES include, but are not limited to:

  • Facilitating the registration process for both new and pre-owned vehicles in accordance with state regulations.
  • Preparing necessary tax and title documentation.
  • Submitting all required legal transfer paperwork to the Department of Motor Vehicles.
  • Confirming that all funds have been collected and the appropriate lienholder has been compensated prior to processing title applications.
  • Ensuring the accuracy and completeness of all applications.
  • Issuing payoff checks for new purchases and trade-ins.
  • Documenting all dealer trades and generating Certificates of Origin.
  • Managing employee payroll processes.
  • Enrolling eligible employees in health and 401(k) benefits.
  • Maintaining a verification system for out-of-state titles.
  • Compiling and updating a comprehensive list of outstanding title work, reporting on the status of any missing or problematic titles to management.
  • Signing over titles for wholesalers who have settled their accounts, and preparing monthly reports on any outstanding funds.
  • Creating stock cards for new and used vehicles.
  • Recording vehicle sales and acquisitions.
  • Registering all vehicle warranties and extended service contracts, while keeping a log of processed contracts.
  • Coordinating the annual renewal of dealer tags in collaboration with the comptroller.
  • Staying informed about title regulations by attending relevant seminars and training sessions.
  • Cross-training team members to ensure coverage of title clerk responsibilities.
  • Conducting training sessions for F&I managers and sales staff regarding title regulations and procedures, providing written updates when regulations change.
  • Supervising the daily activities of the title runner.
  • Maintaining a professional appearance and organized workspace.

QUALIFICATIONS

To excel in this role, candidates must meet the following requirements:

  • A one-year certificate from a college or technical school; or
  • Three to six months of related experience and/or training; or
  • An equivalent combination of education and experience.
