Role Summary:

We are in search of a dedicated Service Operations Coordinator responsible for overseeing, managing, and directing the activities of the service department and technicians. The ideal candidate should possess a keen attention to detail, exceptional customer service skills, and outstanding organizational abilities. This role demands extensive communication with customers, technicians, supervisors, and field personnel, requiring the ability to thrive in a fast-paced, high-volume environment.


Key Responsibilities:

  • Manage service resources in relation to service operations.
  • Schedule personnel, materials, subcontractors, and equipment based on project requirements, skill sets, and availability.
  • Generate work order documentation, dispatch technicians, and inform customers accordingly.
  • Facilitate customer interactions effectively.
  • Coordinate operations with the Parts Department and Acquisition as needed.
  • Review project documentation, complete calls, and forward necessary paperwork to Project Administrators.
  • Ensure customer satisfaction by addressing concerns, routing them to the appropriate staff, and responding to special requests.
  • Log service initiation and requirements in the job tracking system.
  • Generate and print various assigned reports.
  • Demonstrate reliability and dependability in work attendance.
  • Collaborate effectively within a team environment.
  • Maintain a pleasant and cooperative demeanor with both internal and external customers.
  • Perform other related duties as assigned.

Qualifications:

  • Associate's Degree in Business or a related field, with at least 1 year of experience in a call center environment; or a combination of 3 years of education and experience.
  • Proficient in Microsoft Word, Excel, PowerPoint, and Outlook.
  • Experience in the HVAC, Mechanical Contracting, Engineering, or Construction industries is advantageous.

Skills and Abilities:

Language Skills:
Ability to read and comprehend simple instructions, short correspondence, and memos. Capable of writing correspondence and effectively presenting information in one-on-one and small group settings.

Mathematical Skills:
Ability to perform basic arithmetic operations and interpret graphs.

Reasoning Ability:
Ability to apply common sense to carry out instructions and address problems involving concrete variables.


Environmental and Physical Requirements:

Position requires working in various field environments and multiple customer sites daily. Regularly requires the use of hands for operating a computer keyboard, standing, walking, and sitting. Frequent lifting of up to 50 pounds may be necessary.
