KEY RESPONSIBILITIES

Regular responsibilities include (but are not limited to):

OFFICE MANAGEMENT AND FACILITIES OVERSIGHT

Oversee office services by ensuring operations and procedures are well-organized, correspondences are managed, filing systems are established, supply requests are evaluated and approved, and clerical tasks are effectively assigned and monitored. Identify areas for improvement in processes and office management, and design and implement innovative systems. Ensure office productivity is maintained through the planning and execution of furniture procurement, layouts, and office systems. Develop and execute a facility management program that includes preventative maintenance and lifecycle requirements. Responsible for establishing standards and promoting initiatives that enhance operational procedures; Collaborate with HR to uphold office policies as necessary. Supervise and support all administrative functions in the office to ensure smooth operations; Evaluate departmental staff. Coordinate with IT personnel regarding all office equipment. Manage relationships with vendors, external contractors, and service providers to ensure timely payment of all invoices. Maintain a secure and safe working environment; Ensure all utility systems are inspected and comply with building and governmental regulations. Conduct reviews and analyses of special projects and keep management informed.

SUPPORT FOR MANAGING PARTNERS

This position reports directly to the Regional Managing Partner and has a dotted line to Office Managing Partners. Manage schedules, calendars, and appointments for the Regional Managing Partner. Arrange travel logistics for the Regional Managing Partner. Maintain files for the Regional Managing Partner with complete confidentiality.

ADMINISTRATIVE FUNCTIONS

Coordinate monthly and bi-monthly billing reminders. Reconcile various accounts on a monthly basis. Recruit administrative personnel, arrange orientation, and provide ongoing training. Mentor and implement corrective actions for administrative staff across multiple offices. Assess and manage staff performance. Ensure the security, integrity, and confidentiality of office data.

QUALIFICATIONS WE SEEK

10+ years of experience in an administrative or office management capacity. Bachelor's degree in business or administration. Experience with Real Estate Lease for buildouts and expansions. Proficient in Microsoft Office Suite; Word, Excel, and PowerPoint. Excellent communication and interpersonal abilities. Exceptional attention to detail. Strong organizational and time management skills, with the ability to prioritize effectively. Solid work ethic and a high standard of work quality. Engaging personality and a positive outlook. Experience in developing internal systems. Ability to manage confidential information.

For job postings in our New York City location, we are required by law to include a good faith salary range for every job, promotion, and transfer opportunity in accordance with the New York City Human Rights Law. This range considers many factors, including but not limited to a candidate's knowledge, job specific skills, experience, licensure, and certifications. A reasonable estimate of the current range for this position is $53,000 to $77,000.
