Job Summary

We are seeking a highly skilled and experienced Academic Support Specialist to join our team at St. Edward's University. The successful candidate will provide complex administrative support to the Dean of the School of Arts and Humanities, ensuring the smooth operation of the office and contributing to the achievement of the school's missions in teaching, research, and service.

Key Responsibilities
  • Administrative Support: Provide day-to-day administrative functions, including processing office correspondence, reports, and meeting documentation, as well as maintaining accurate records and generating reports as required.
  • Budget Management: Manage budgets in the school under the Dean's direction, maintaining budget records, generating budget reports, and acting as a liaison with Advancement, Finance, and other relevant parties.
  • Curriculum Management: Work with department chairs to create and update curricular guides for each major, compile yearly Bulletin changes, oversee waitlists and overload requests during registration, and update and maintain course schedules as necessary.
  • Academic Administration: Collaborate with the university's success coaches on establishing policy, support success coaches in questions of academic process and procedures, and oversee academic administrative processes in collaboration with Associate Deans and Department Chairs.
  • Additional Duties: Research and order budgeted office materials, equipment, and academic supplies, assist with troubleshooting school equipment issues, submit work orders for cleaning and maintaining Arts and Humanities facilities, and assist with scheduling facilities for school events.
Requirements
  • Education: A bachelor's degree from a regionally accredited institution.
  • Experience: At least three years of progressively responsible administrative/executive level management support experience or a combination of education and experience from which comparable knowledge and skills are required.
  • Skills: Excellent administrative, communication, and organizational skills, with the ability to work well under pressure and possess strong customer service skills.
