An administrative assistant plays a vital role in supporting the engineering team by handling various administrative tasks, including calendar management, scheduling appointments, coordinating meetings, arranging travel, preparing documents and reports, maintaining files and records, and assisting with general office duties.
Key Responsibilities:
- Perform day-to-day administrative tasks and assist with special projects as assigned
- Coordinate and schedule appointments, vendor visits, material delivery, meetings, and conference calls for staff and management
- Manage data in spreadsheets, databases, and other software tools
- Order and manage office supplies, equipment, and ensure necessary materials are available to staff
- Process expense reports, invoices, and reimbursements
- Receive and distribute incoming mail
- Prepare miscellaneous forms, reports, correspondence, and other documents as necessary
- Maintain organized filing systems and ensure proper documentation of records
- Coordinate and monitor all aspects of administrative workflow with minimal supervision
- Perform other related duties as necessary or assigned
Requirements:
- Excellent organizational skills and ability to multi-task under pressure
- Ability to handle sensitive/confidential information
- Ability to work well in a team environment
- Ability to multitask and prioritize tasks effectively
- Independent thinking and good judgment
- Attention to detail and accuracy in record keeping
- Ability to work quickly and proficiently to meet deadlines while maintaining a high level of accuracy
- Excellent Microsoft Office skills, including Word, Excel, and Outlook
- Proper English usage, spelling, grammar, and punctuation
- Standard office administrative practices and procedures, including the use of standard office equipment
Education and Experience:
- High school diploma or equivalent education required
- Minimum 3 years administrative experience
- Aviation/airline/FAA background a plus
Security Clearance:
- Ability to obtain/maintain a Secret DoD clearance, U.S. Citizenship required
