Billing and Administrative Coordinator

The Billing and Office Coordinator at Serenity Care Resources plays a crucial role in overseeing the daily billing operations and administrative tasks of the agency. This position requires a dedicated individual who excels in supporting the billing department's functions while ensuring effective scheduling and staffing of caregivers for elderly or disabled clients receiving in-home services.
Key ResponsibilitiesEssential Duties:- Provide leadership and direction to team members.
- Possess a diverse background in caregiving, billing, and office management.
- Demonstrate strong organizational skills and attention to detail, particularly in homecare billing.
- Adapt to a fast-paced environment and manage shifting priorities effectively.
- Process weekly billing for all clients using the EVV system.
- Exhibit in-depth knowledge of EVV systems, including functionality and reporting.
- Communicate effectively and build strong interpersonal relationships.
- Maintain professionalism and confidentiality in all responsibilities.
- Work effectively with individuals from diverse cultural backgrounds.
- Participate in an on-call rotation to cover caregiver absences.
- Manage submission and follow-up of claims for Medicaid, commercial, and private payers.
- Ensure accurate claim submissions for all assigned payers.
- Address and resolve any claim rejections or errors promptly.
- Collaborate with management to maintain schedules, dashboards, and reports.
- Analyze denial data to identify root causes and develop resolutions.
- Engage with insurance carriers to resolve outstanding accounts.
- Conduct coding reviews to address complex insurance denials.
- Draft appeals to resolve billing discrepancies efficiently.
- Prioritize tasks to ensure timely resolution of claims.
- Utilize reports to identify and address denial trends.
- Seek opportunities for improving denial management processes.
- Handle correspondence and requests in accordance with departmental procedures.
- Assist with chart audits and maintain accurate documentation.
- Respond to inquiries regarding coverage, benefits, and reimbursement.
- Investigate rejections noted in EOBs for appropriate resolution.
- Keep management informed of any changes in billing systems or insurance networks.
- Maintain internal logs and assist with month-end closing processes.
- Perform additional duties as assigned.
- Implement office workflow procedures to maximize efficiency.
- Serve as the primary contact for EVV-related issues until resolved.
- Organize and maintain files and records with effective systems.
- Manage communications, including phone calls and correspondence.
- Oversee office expenditures and manage contracts.
- Conduct basic bookkeeping and update accounting records.
- Perform background checks for employees.
- Ensure office equipment is operational and well-maintained.
- Monitor inventory of office supplies and place orders as needed.
- Support meeting and conference arrangements.
- Maintain a clean and organized office space.
- Assist in managing vendor relationships.
- Complete other assigned tasks as necessary.
- A four-year college degree is preferred.
- Two years of experience in medical billing or office coordination.
- A commitment to being part of a compassionate team dedicated to making a positive impact in the community.
