The Billing and Office Coordinator at Serenity Care Resources plays a crucial role in overseeing the daily billing operations and administrative tasks of the agency. This position requires a skilled individual who can effectively support the billing department's functions while ensuring the proper scheduling of caregivers for elderly or disabled clients receiving in-home services.
Key ResponsibilitiesEssential Duties:
- Provide leadership and direction to team members.
- Possess a comprehensive background in caregiving, billing, and office management.
- Exhibit strong organizational skills and attention to detail, particularly in homecare billing.
- Adapt to a fast-paced environment and manage shifting priorities effectively.
- Process billing for all clients using the EVV system on a weekly basis.
- Demonstrate in-depth knowledge of EVV systems, including their functionalities and reporting capabilities.
- Utilize strong communication skills to interact with clients and staff.
- Maintain professionalism and confidentiality in all responsibilities.
- Work effectively with diverse populations.
- Participate in an on-call rotation to cover caregiver absences.
- Submit and follow up on claims for Medicaid, commercial, and private payers as assigned.
- Ensure accurate claim submissions for all insurance types.
- Address and resolve claim rejections and errors promptly.
- Collaborate with management to maintain schedules and reports.
- Analyze denial data to identify root causes and develop resolutions.
- Communicate with insurance carriers to resolve outstanding accounts.
- Review and resolve complex insurance denials, including coding issues.
- Draft appeals to address billing discrepancies.
- Prioritize tasks to ensure timely processing of claims.
- Identify opportunities for improvement in denial management.
- Manage correspondence and requests according to departmental procedures.
- Assist with chart audits and maintain necessary documentation.
- Respond to inquiries regarding coverage and reimbursement.
- Research and resolve issues related to remittance advices.
- Keep management informed of any changes in billing systems or insurance networks.
- Maintain internal logs and assist with month-end closing processes.
- Perform additional duties as assigned.
- Ensure efficient office workflow by following established procedures.
- Act as the primary contact for EVV-related issues until resolved.
- Organize and maintain files and records systematically.
- Handle all forms of communication, including phone calls and correspondence.
- Monitor office expenses and manage contracts.
- Conduct basic bookkeeping and update accounting records.
- Perform background checks for employees.
- Oversee the maintenance of office equipment.
- Manage inventory of office supplies and place orders as needed.
- Support meeting and conference arrangements.
- Maintain a tidy and organized office space.
- Assist in managing vendor relationships.
- Complete other assigned tasks as necessary.
- A four-year college degree is preferred.
- Two years of experience in medical billing or office coordination.
